We are looking for a Surgery Scheduler to join our team on a contract basis in Palo Alto, California. This role is focused on supporting clinic operations, including patient coordination, surgery scheduling, and front office administrative functions. The ideal candidate will play a key role in ensuring smooth daily operations and providing excellent service to patients and providers.
Responsibilities:
• Welcome and assist patients at check-in and check-out, addressing inquiries regarding appointments, payments, and schedules.
• Collaborate with healthcare providers to coordinate scheduling preferences and respond promptly to urgent patient needs.
• Utilize reference materials and tools to provide clear and accurate doctor-patient support.
• Perform administrative duties such as maintaining databases, processing internal forms, and managing the paging directory.
• Ensure organizational and departmental service standards are consistently met or exceeded.
• Respond to non-clinical patient messages and CRM inquiries, escalating concerns as necessary.
• Organize, distribute, and file clinic-specific documentation, including handling faxes and mail.
• Support surgery scheduling processes and maintain accurate records related to clinical operations.
• Communicate effectively with patients and team members, adapting style to fit various needs.
• High school diploma or equivalent education.
• Familiarity with medical terminology and healthcare administrative processes.
• Proficiency in using computer systems, databases, and Windows-based office software.
• Strong verbal and written communication skills tailored to diverse audiences.
• Ability to prioritize tasks, solve problems, and deliver excellent customer service.
• Experience in managing multiple priorities in a fast-paced environment.
• Calm and attentive to detail demeanor, especially in high-pressure situations.
• Knowledge of electronic medical records (EMR) systems and multi-line phone systems.
