This individual is a self-starter and has the capacity to work collaboratively within the Human Resources team and across the organization. The Human Resources Coordinator must be self-motivated, focused, eager to learn, and have a high sense of urgency while still paying very close attention to detail. The ideal candidate possesses a solid business acumen and the ability to work effectively in a fast-paced environment.

Responsibilities
Recruiting Support
- Act as first point of contact to support hiring managers with recruiting and hiring inquiries, including providing ADP assistance
- Assist with processing job postings
- Consistently manage all inquiries in the Recruiting email inbox and address in a timely manner
Program Development
- Support Mass Audubon’s efforts to enhance the overall employee onboarding experience
- Collaborate with Human Resources and managers to tailor onboarding experiences for different roles, locations, and needs
- Assist in developing and implementing feedback tools (e.g., surveys, focus groups) to help evaluate onboarding effectiveness and highlight opportunities for improvement
- Participate in the design of orientation sessions and training workshops for seasonal and full-time staff, promoting consistency and clarity in onboarding delivery
- Support cross-departmental onboarding activities, ensuring new hires receive a holistic understanding of organizational operations and conservation goals
Seasonal Employee Lifecycle Management
- Review and maintain internal checklists and systems to monitor the lifecycle of seasonal employees, including start dates, changes, and termination dates
- Initiate ADP Onboarding for all seasonal new hires and rehires; coordinate with hiring managers on progress and responsibilities during the onboarding period
- Track and complete all onboarding tasks: perform background checks, assist in the completion of I-9 forms, and submit driver record checks for all seasonal employees; ensure all employee fields in ADP are completed
- Conduct monthly data audit for seasonal staff, including updating missing and/or incorrect information and confirming end of assignment date; run time tracking reports to audit hours compliance
- Complete all employment verification requests
- Intake and process all employee status changes in a timely and proactive matter, including, but not limited to pay adjustments, supervisor changes, and terminations
- Support payroll processing tasks for seasonal staff and ensure that biweekly timecards are accurate and complete for payroll processing, including approving Mass Sick Time requests
General/Other
- This position provides primary back-up support to the Human Resources Generalist and the larger Human Resources team as needed
- Support updates to the Human Resources intranet site
- Assist Human Resources staff with coordinating several events throughout the year, including new employee orientation, manager trainings, and annual all-staff outing
- Support general Human Resources tasks as needed, including filing, scheduling, and mail distribution and processing

Must Haves
- Bachelor’s Degree in Business or Human Resources preferred, or equivalent work experience
- Minimum of 2 years of Human Resources experience
- Excellent communication, interpersonal, and customer service skills, as well as an ability to relate to a diverse population and exercise cultural competence and inclusion
- Ability to work effectively and calmly with short deadlines and to resolve customer concerns in a timely fashion
- Ability to handle multiple deadlines, moving from one priority to another, while completing projects on time
- Ability to assess situations, independently problem-solve, and proactively elevate as appropriate
- To perform this job successfully, an individual should have proven experience with Microsoft Office products (Outlook, Teams, OneDrive, SharePoint, Word, Excel) and HRIS (preferably ADP Workforce Now)
Nice to Haves
- Proven experience handling seasonal workforce lifecycle activities across medium and/or large operational environments
- Background in and enthusiasm for contributing to onboarding program development
- Experience with onboarding seasonal employees in a medium to large scale environments
Compensation, Benefits and Perks
This position’s pay range is $65,000-$75,000/year; actual salary will reflect level of experience and qualifications relative to position requirements.

Work Schedule
Full-time schedule of 40 hours, Monday through Friday.
Other Requirements
Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.
