The Role

We're looking for a sharp, reliable, and personable Office Manager to be the face and backbone of our Indianapolis office. This is a real role for someone who takes ownership, stays on top of details, and wants to grow with the company. You'll start by keeping the office running smoothly, and over time you'll have the opportunity to take on broader responsibilities in community management and China-based import and sourcing operations.

What You'll Do

  • Be the first point of contact for all incoming communications — visitors, vendors, deliveries, service providers, and building staff
  • Manage front desk operations and general clerical duties as needed
  • Receive, sort, forward, and manage all incoming mail and packages
  • Manage vendor relationships and coordinate scheduling of service providers, maintenance crews, and building staff
  • Support day-to-day office operations and keep things running smoothly
  • Communicate with Mandarin-speaking contacts and partners as needed
  • Gradually take on responsibilities in import/sourcing coordination with China (full training provided)
  • Grow into a Community Manager role as the office expands its shared workspace operations

What We're Looking For

  • Fluent in Mandarin Chinese and English (written and spoken) — required
  • Highly organized, proactive, and self-sufficient
  • Professional, warm, and polished in person
  • Comfortable in a fast-moving, entrepreneurial environment
  • Recent graduate or current graduate student welcome
  • Must be legally authorized to work in the US — we do not offer visa sponsorship, but OPT/STEM OPT is welcome
  • No prior office management experience required — the right attitude matters more

Details

  • Location: 626 N. Illinois St, Indianapolis, IN (in-person only)
  • Schedule: Monday–Friday, 10:30am–4:00pm (26.5 hrs/week)
  • Pay: $25/hour
