Job purpose for Receptionist

To provide administrative and customer service support to clients and visitors of the Family Assessment Support and Education program and location. To provide administrative support for the Family Assessment Support and Education program staff including the Supervisory Team.

Duties and responsibilities for Receptionist

    • Receive visitors and clients in a professional and courteous manner.
    • Answer incoming telephone calls; triage calls for staff and management, including taking messages, forwarding calls.
    • Act as first point of contact for new families or clients entering facility;
    • Transfer/enter case notes into internal databases completely, accurately and in a timely manner
    • Provide administrative support to management.
    • Utilize internal databases to assist in the development and monitoring of client files
    • Ensure accurate recordkeeping of incoming cash payments for bank deposits, preparing and delivering deposit.
    • Prepares, sorts and distributes incoming mail & mails outgoing letters and packages for the location
    • Basic data entry
    • Ordering of supplies for program
    • Exercise independent discretion to make recommendations for and execute the organization of office and equipment to improve the flow and ease of use
    • Coordinates with Plymouth Receptionist to monitor, order, and maintain office and maintenance supplies for Garden City/Inkster location
    • Transport supplies and deposits to Plymouth office
    • Assists in orienting new staff to the Garden City/Inkster location
    • Assists with preparation, set-up and support for internal and agency meetings.
    • Supports and completes clerical tasks as requested by staff and management.
    • Completes additional activities as assigned by Program Director and Program Supervisor

Qualifications for Receptionist

  • Minimum educational requirements are a high school diploma or GED, bachelor’s degree preferred.
  • Two to three years’ prior experience in a human services environment, as an administrative assistant or receptionist highly preferred.
  • Excellent computer skills including excel spreadsheets and other database programs;
  • Experience in data entry and reporting;
  • Highly organized, self-directed and detail oriented with an assertive manner;
  • Excellent internal and external customer service skills;
  • Solid demonstrated experience using the MS Office Suite drafting communications, memos, and general correspondence.
  • Excellent oral and written communication skills
  • The ability to multi-task, prioritize, and escalate concerns, in a fast-paced, changing environment


PHYSICAL REQUIREMENTS FOR RECEPTIONIST:

  • Must be able to complete manual tasks involving dexterity to enter and retrieve data using computer systems, systems applications, and other office equipment.
  • Ability to lift and transport materials/supplies up to 25 lbs. for internal documentation and recordkeeping, court support, and other administrative tasks.
