Position Title: Meeting and Event Services Manager

Position Summary
The Meeting and Event Services Manager is responsible for servicing sales and catering bookings and acts as a liaison between the meeting/event planner and the hotel operation staff. This manager will be assigned sales and catering groups from the Director of Meeting and Event Services and will be responsible for maximizing revenues and ensuring 100% client satisfaction. The Meeting and Event Services Manager will report directly to the Director of Meeting and Event Services.
Essential Job Functions
- Responsible for servicing catering and room blocks from the time a contract becomes definite to execution and final billing.
- Responsible for establishing and maintaining rapport with clients, prior to, during and post-conference, exceeding their expectations and encouraging repeat business. Conduct site inspections as required.
- Act as the onsite contact for all assigned events
- Must control function space maximization and participate in Daily Business Review
- Ensure meeting and function rooms are properly maintained at all times. Liaise with Food and Beverage outlets with regards to reservations and flow of clients.
- Expedite function bookings; prepare resumes, BEOs, etc. Compilation and distribution of conference agendas and event orders.
- Handle protocol related activity and handle VIP visit scenarios.
- Administrative work to ensure the event department is run smoothly will be required
- Maintain complete knowledge of and comply with all departmental policies/service procedures/standards
Knowledge and Skills
- 2+ years of previous hotel event planning experience
- Excellent oral and written communication skills
- Excellent organizational and administrative skills, with the ability to prioritize tasks
- Ability to interact with customers in a pleasant manner on a daily basis
- Perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, and cooperativeness
- Punctuality and regular and reliable attendance
- Interpersonal skills and the ability to work well with co-workers and the public
- Experience using automated sales and catering system required, Opera PMS and Opera Sales and Catering experience preferred
- Ability to deal with internal and external customers and staff, collect accurate information and to resolve conflicts
- Ability to effectively present information and respond to questions from guests, and the general public
Education and Work Experience
- Bachelor’s degree highly preferred
- 2+ years previous hotel sales and/or event planning experience
