Key Responsibilities:

  • Phone Management: Answer and direct all incoming calls promptly and efficiently to the appropriate team member.
  • Client Interaction: Professionally and proactively greet office guests, answer questions, and assist clients, visitors, and staff with a positive and helpful attitude.
  • Front Desk Management: Maintain, organize, and clean the front desk area to create a welcoming atmosphere.
  • Scheduling: Coordinate meetings, client visits, and firm events as needed.
  • Office Maintenance: Monitor and maintain office supplies inventory, proactively restocking items, and ensuring the office remains clean and organized.
  • Administrative Duties: Perform clerical tasks such as filing, photocopying, scanning, running errands, and assisting team members as necessary.
  • Stocking Areas: Ensure the copy rooms, snack room, and lounge are well-stocked and tidy.
  • Mail Handling: Collect, sort, and distribute all incoming mail and packages promptly and efficiently.

Requirements:

Preferred Skills & Qualifications:

  • Education: High school diploma or equivalent required; Bachelor’s degree preferred.
  • Experience: Proven history of providing exceptional customer service.
  • Technical Skills: Familiarity with basic office software and the ability to operate scanners, copiers, and printers.
  • Language Skills: Bilingual proficiency in English and Spanish is required.
  • Professionalism: Demonstrates a professional demeanor with a positive and outgoing personality.
