Position Summary: Provides administrative, operational, and reception support by managing incoming calls and correspondence, coordinating office supplies and facilitys needs, and maintaining a welcoming, well-organized lobby and workspace. Collaborates closely with branch staff, Compliance, and external vendors to ensure accurate communication, efficient office operations, and consistent adherence to Bank policies, procedures, and service standards while supporting sales, service initiatives, and special events. Serves as the primary point of contact for customers and staff by delivering professional, courteous, and efficient front-line service in a banking environment. This is NOT a supervisory role.________________________________________
Duties and Responsibilities:
Mail & Financial Processing
Process incoming and outgoing mail.
Process incoming and outgoing interoffice mail.
Respond to return mail coding in collaboration with other bank departments and direct customer contact.
Finalize and mail accounts payable checks as needed.
Office Administration & Supplies
Track, order, organize, and maintain office supply inventory for staff and management.
Reconcile office supplies received against purchase orders and address discrepancies as needed.
Maintain documentation and submit invoices and receipts in accordance with policy and procedures.
Assist to maintain lobby areas, coffee stations, workstations, and shared spaces for cleanliness and organization.
Assist to keep all work areas clean, orderly, and stocked.
Facilities & Building Support
Assist with building-related upkeep and requests, examples of which may include:
Flag inspections and replacements
Sidewalk ice treatment during inclement weather
Posting signage for out-of-order equipment while awaiting repairs
Other building needs as presented
Serve as a liaison with building maintenance personnel and external vendors.
Assist with long-term office improvement and capital asset projects as needed.
Customer Service & Reception
Greet and direct customers in the lobby in a professional and courteous manner.
Answer incoming calls before the second ring and route calls to the appropriate department or individual.

Field and refer customer inquiries received by phone, in person, or by mail.
Responsible for monitoring front-desk coverage and filling in as a backup Receptionist as needed to ensure consistent customer service.Communication & Information ManagementMaintain availability of product and service informational materials and in-branch messaging.Collaborate with Compliance to ensure accurate and up-to-date digital marquee messaging. Maintain the Employee Out-of-Office calendar based on information provided by staff.
Monitor HCBC stock information online, notify branches of changes, and update stock boards as required.
Systems, Policies & Support
Understand and navigate Bank operating systems and core software, including CSI NuPoint, the Intranet, and the Company website.
Follow and apply all Bank Rules & Regulations, Policies & Procedures.
Support management and branch staff positively with respect to sales and service initiatives.
Assist management with coordinating special events.

Ensure Compliance with all internal controls and established policies and procedures.
Ensure and understand Teller compliance requirements of Bank Secrecy Act (BSA)/Office of Foreign Assets Control Regulations (OFAC); Reporting of Currency Transactions (CTR); Reporting of Suspicious Activity (SAR); Monetary Instrument Log/Customer Identification/Customer Due Diligence (CDD); Anti Money Laundering Regulations; Identity Theft Prevention; Unfair, Deceptive, Abusive Acts or Practices (UDAAP); and Deposit Regulations (Reg CC, E, P).
