Position Overview
We are seeking a detail-oriented and proactive Operations and Finance Support Specialist to join our administrative team. This vital role will assist with financial record-keeping, interpreter payments, scheduling oversight, and supporting various office and administrative functions. The ideal candidate will be highly organized, discreet, and capable of managing multiple responsibilities across departments to ensure smooth operations.
Key Responsibilities:
- Support bookkeeping processes and maintain accurate financial records
- Track interpreter timesheets and assist with payroll and contractor payments
- Coordinate with interpreters to verify hours, rates, and schedule accuracy
- Maintain internal tracking spreadsheets and invoice documentation
- Support day-to-day office and administrative duties
- Communicate professionally with clients, interpreters, and vendors
- Assist with occasional marketing efforts and outreach
Qualifications:
- A minimum of a bachelor’s degree in business administration/management is required
- 2-3 years of experience in operations, bookkeeping, administrative support, or office coordination
- Familiarity with tools like QuickBooks, Excel/Google Sheets, or payroll systems
- Proficiency with Microsoft Office programs, especially Word
- Strong attention to detail and accuracy in handling financial data and documentation
- Excellent written and verbal communication skills
- Ability to prioritize tasks effectively and work independently with minimal supervision
- Good time management skills and the ability to juggle multiple responsibilities in a fast-paced environment
- Discretion and the ability to handle sensitive information confidentially
- Strong problem-solving skills to troubleshoot scheduling or payment discrepancies
- Effective interpersonal skills for professional communication with clients, interpreters, and vendors
- Flexibility and adaptability to support various functions and changing priorities
- Experience in customer service or vendor relations (a plus)
Job Type: Part-time
Pay: $38,000.00 - $43,000.00 per year
Expected hours: 30 per week
