Job DescriptionAdministrative AssistantOur client, a private investment firm in Montgomery County, PA, is seeking an Administrative Assistant to join the team. The ideal candidate is well organized, has a positive attitude, and is a team player that is willing to wear many hats.Responsibilities

  • Scheduling and organizing meetings, ordering meals for meetings, managing conference room calendars
  • Book weekly, changing, travel for entire office
  • Assisting with weekly processing of A/P and travel reimbursements, including allocation/coding of payments
  • Greeting and assisting all office visitors or clients
  • Receiving and routing all incoming calls
  • Managing the accounting inbox which includes all invoices for A/P processing
  • Assisting with reporting and tracking of IT issues to external IT support
  • Assisting with managing weekly deliveries of office and kitchen supplies and general kitchen, conference room and other tidiness
  • Managing all copier & printer maintenance
  • Aggregating and allocating all data from monthly credit card statements
  • Managing all vendors relationships
  • Assist with various office matters as needed

Qualifications

  • Minimum five years of experience in an administrative related field
  • Experience working in a fast-paced, ever-changing environment
  • Proficient in Microsoft Office suite, heavy Outlook calendaring, MS Word, Excel and Teams
  • Excellent organizational skills
  • Excellent oral, written, and inter-personal communication skills
  • Able to anticipate needs and have problem solving skills.
  • Ability to build relationships and manage the office space.
