Job DescriptionDescription:

The Administrative Assistant is responsible for providing administrative support to ensure efficient operations of the office. This position supports managers and employees through a variety of tasks related to organization and communication. The Administrative Assistant deals with a wide range of highly sensitive issues and must conduct themselves in a highly professional manner.

Reports To: Executive Assistant to the Chief Financial Officer


Job Responsibilities

1. Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

2. Organize and schedule meetings and appointments

3. Receive, sort and distribute the mail

4. Maintain contact lists

5. Produce and distribute correspondence memos, letters, faxes and forms

6. Develop and maintain a filing system

7. Track and schedule building maintenance

8. Provide general support to visitors

9. Book travel arrangements and group registrations for trainings, conferences, etc.

10. Do research

11. Create presentations

12. Generate reports

13. Handle multiple projects assigned by all departments of the organization

14. Develop office administration procedures

15. Ensure operation of equipment by completing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

16. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

17. In charge of holiday card mailings and gift arrangements

18. Some entry level accounting tasks

19. Other tasks and project assignments as requested

Requirements:

Skills & Qualifications: To perform the job successfully, an employee should demonstrate the following competency standards

1. High school diploma or equivalent

2. Excellent time management skills and ability to multi-task and prioritize work

3. Excellent written and verbal communication skills

4. Excellent communication and people skills

5. Strong organizational and planning skills

6. Proficient in Microsoft Office Suite (Word, Excel), Gmail

7. Proficient in use of the computer, fax, scanner, and printer.

8. Ability to strategize and solve problems

9. Attention to detail

10. Ability to adapt to a growing and changing business environment

11. Teamwork

13. Valid driver's license and insurance.

14. Legally qualified to work in the U.S.
