Office Manager – CPA Firm
Full-Time | In-Office (with some flexibility outside busy season) | Portland, OR
$70,000 – $85,000 + Benefits
Help run a modern, advisory-focused CPA firm.
Having worked in a tax firm before, you already know how chaotic busy season can get—emails flying, deadlines stacking up, and too many plates spinning at once. We’re building something better.
We’re an advisory-focused CPA firm working closely with clients year-round—not just during tax season. That means better relationships, more proactive work, and a firm that’s growing with intention. And we’re looking for an experienced Office Manager who understands how a CPA firm operates and can help bring structure, efficiency, and clarity to everything we do.
What you’ll do
You’ll play a central role in keeping the firm organized, efficient, and moving forward:
- Manage and track firm-wide workflow—know where every project stands
- Take administrative burden off partners and tax staff
- Ensure tax returns are assembled, delivered, and e-filed accurately and on time
- Oversee invoicing, accounts receivable, and billing processes
- Prepare and distribute tax organizers, engagement letters, and client communications
- Maintain clean, organized digital client files
- Serve as a primary point of contact for clients (scheduling, communication, follow-ups)
- Generate reports on workflow, billing, and performance
- Identify inefficiencies and help improve systems and processes
What you bring
- 3–7+ years of experience in a CPA firm or similar environment
- Strong understanding of tax season workflows and deadlines
- Proven ability to manage multiple priorities in a fast-paced environment
- High attention to detail and strong organizational skills
- Proactive, resourceful, and solution-oriented mindset
- Excellent communication and client service skills
Required technical experience:
- Hands-on experience with CCH Axcess or comparable tax software (e.g., ProSystem fx, UltraTax, Lacerte) for practice management, project workflow, and document management
- Strong proficiency in Microsoft Office (especially Excel and Outlook)
- Familiarity with QuickBooks Online and practice management/workflow tools
Schedule & Work Environment
- Monday–Friday, ~40 hours/week outside of busy season
- Overtime and occasional weekends during tax season
- Primarily in-office role
- Some flexibility/work-from-home available outside of peak periods
Compensation & Benefits
- $70,000 – $85,000 salary (depending on experience)
