Surgery Scheduler - Gastroenterology

Position Overview
The Gastroenterology Surgery Scheduler coordinates surgical procedures with the surgery centers, manages pre-operative testing, and ensures accurate communication of surgery orders to providers and patients.
Primary Responsibilities
Surgical Scheduling:
- Schedule patient surgeries at Forest Canyon Endoscopy Surgery Center and Flagstaff Medical Center.
- Establish mutually acceptable surgical appointment times for patients and physicians.
Pre-Operative Coordination:
- Ensure all necessary paperwork, such as consent forms and allergy lists, are completed and on file before surgery.
- Provide patients with detailed pre-surgery instructions, including arrival time and transportation arrangements.
- Review all instructions with patients to ensure full understanding.
- Ensure all required pre-surgery tests are completed and forwarded to the appropriate facilities.
Patient Communication:
- Serve as the first point of contact for patient questions regarding surgery duration, preparation, and post-operative care.
- Track and relay information in a timely and sensitive manner to surgery centers, including communication via Teams chat.
- Process GI Questionnaires:
- Send questionnaires electronically when possible.
- Assist patients in completing questionnaires via phone if electronic access is not feasible.
- Scan and forward completed forms to the appropriate provider.
Follow-Up & Administrative Support:
- Schedule follow-up appointments for patients.
- Submit referrals to billing for verification of patient insurance benefits for inpatient, outpatient, and in-office procedures.
- Answer telephone calls, schedule appointments, and route tasks appropriately.
- Check and return voicemails daily in a timely and professional manner.
- Provide coverage for front desk as needed.
- Perform additional administrative or clinical support tasks as assigned by management.
Compliance:
- Ensure compliance with HIPAA regulations.
- Maintain patient confidentiality and accurate medical documentation.
Knowledge, Skills and Qualifications
• Prior work in a medical office, hospital, or scheduling role
• Professionalism, confidentiality, and strong work ethic
• Ability to multitask and stay organized in a fast-paced environment
• Comfort working with EHR systems and standard office technology
• A team mindset with a focus on patient-first service
