Job Summary
The Order Entry Specialist is responsible for accurately processing customer purchase orders into the company’s system, ensuring timely fulfillment and high levels of customer satisfaction. This role serves as a key liaison between sales, customer service, production and shipping departments, ensuring that order information is complete, accurate, and aligned with company standards. Typical duties include data entry, verifying pricing and product availability, tracking orders, and resolving discrepancies or delays.
Key Job Responsibilities
- Will coordinate with other team members to process purchase orders from customers and accurately enter the information for the order into the company system. Will coordinate with other team members for different aspects of the order to manage and track the order through production and shipping.
- The key goal for this position is customer satisfaction, which includes working on behalf of the customer and the sales and customer service teams to ensure that information is flowing to the customer and other internal team members, as needed.
- The Order Entry Specialist is responsible for keeping track of the status of orders/jobs and typically has 100 to 200 orders/jobs in process at any given time.
- Most interactions with customers are via email. However, the Order Entry Specialist is encouraged to develop strong relationships with customers and will be expected to interact on the phone, as needed and will be required to interact with the sales team in person or on the phone to ensure increased efficiency and flow of communication.
Job Requirements
- High school diploma or equivalent.
- At least 6 months of office or clerical/administrative experience.
- Must have excellent written and verbal communication skills and the ability to anticipate customer needs.
- Computer proficiency is required. Must be able to learn new software.
- Understanding of Windows, Microsoft Office, Outlook email, Dynamics 365, and Sage ERP software is highly desired.
- Strong attention to detail, organizational skills, and a customer-focused mindset are essential in this position.
- Must be a quick learner and able to multi-task.
