Job Description

The Operations Manager at The Rabourn Company is a full-time position responsible for overseeing the day-to-day operations of the agency, ensuring smooth workflow and efficient processes. (S)he manages a team of employees, providing guidance, training, and support to ensure high-quality work and adherence to company policies and procedures designed around operational efficiency, customer service, and profitability. (S)he identifies areas for improvement and implements solutions to enhance these factors. Additionally, the Operations Manager maintains relationships with clients, vendors, and other stakeholders to ensure the agency’s operations align with their needs and expectations.

Job Requirements

To excel in the role of Operations Manager at The Rabourn Company, ideal candidates should possess a bachelor’s degree in business administration and have experience in banking, insurance and Human Resources. Experience managing people is a must. Excellent leadership and communication skills are essential for managing our staff, customers, and vendors. Strong analytical and problem-solving abilities are also crucial to identify areas for improvement and implement effective solutions. Experience with insurance agency management systems, computer systems, and Microsoft Word/Excel/Outlook software is preferred.

Financial:

· Ensures all accounting entries are processed timely, correctly, and in accordance with generally accepted accounting principles

· Responsible for ensuring the accuracy of monthly financial statements, including the reconciliation of subsidiary ledgers and account support documents to the general ledger.

· Reconciliation of bank statements.

· Responsible for maintenance of account records to document receipts and expenditures and proper retention of such records.

· Manages A/R and A/P to ensure that company policies are properly enforced.

· Preparation and tracking of annual budget for agency. Explanation of actual vs. budget revenue/expense fluctuations

· Preparation of financial documents for CPA, insurers, owners, and government agencies as required.

· Maintains the Agency Management system from an accounting perspective.

· Responds to internal and external customer information requests in a timely and appropriate manner.

· Other financial reports and duties as appropriate.

Human Resources

· Management of staff, including reviews of work

· Payroll and time management

· Lead and/or assist in evaluation, training, and discipline of staff where required.

· Onboarding of new employees; termination of employees

· SIMPLE Plan administrative duties

· Other Human Resources duties as appropriate

Operational Duties

· Agency licensing across 31 states, plus new state licensing

· Employee licensing

· Office equipment administration and leases

· Management of building, offsite storage and equipment leases

· Maintenance and acquisition of computer and other equipment

· General maintenance of office

Other:

· M-F, 8am-4:30pm except 1 day remote allowed (presently Wednesdays)

· Salary DOE, up to $80k/year
