Job Summary
The Records Specialist provides records management services to the firm. The Specialist adheres to daily record center operational tasks and procedures. The Specialist provides quality customer service and ensures all assignments are completed accurately and efficiently and promotes professionalism and teamwork.
Job Responsibilities
- Creates and bar-codes active and inactive client files.
- Performs data entry in the records management database. Assists users with requests for information or reports from the records database. Answers and responds to email requests and phone calls.
- Prepares and processes client files for off-site storage. Provides back-up assistance with the delivery of off-site storage boxes to clients. Escorts off-site storage vendor to our staging area for box pick-up and deliveries.
- Performs scheduled audits of the records center, offices, and workstations.
- Assists with retention and destruction activities. Provides back-up assistance with escorting confidential shredding vendor to the locations of shredding bins for service.
- Provides case room management assistance.
- Provides back-up assistance with scheduled file pick-ups.
- Assists records center personnel as needed and assists with additional projects as necessary.
- Other duties as assigned.
Qualifications
Knowledge, Skills and Abilities
- Demonstrated ability to communicate clearly and effectively, both orally and in writing, with Records staff and clients.
- Demonstrated ability to provide basic client service requiring ordinary tact and courtesy.
- Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements, including appropriate handling of sensitive or confidential information.
- Intermediate knowledge of automated records management systems and the ability to enter and retrieve data.
- Demonstrated ability to work effectively with others in a cooperative, enthusiastic and friendly manner to accomplish position functions and participate in team efforts.
- Demonstrated basic knowledge of MS suite of products such as Word, Excel, PowerPoint, Access.
- Ability to safely lift, move and carry boxes without assistance, weighing up to 25 lbs.
- Overtime may be required
Education
The position requires a High School Diploma or GED.
Experience
The position requires a minimum of two (2) years of increasingly responsible, directly related experience during which knowledge, skills, and abilities applicable to the position were demonstrated.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The pay range for this position is $47,000-$62,000. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
