QUALIFICATIONS
- A bachelor’s degree from a four-year University or university
- Minimum 2 years’ experience as an Executive Administrative Assistant
- Extremely proficient with Microsoft Office
- Exemplary planning and time management skills
- Ability to stay calm in high-stress situations
- Extremely high level verbal and written communication skills
- A precise command of grammar, punctuation, spelling and correct usage of the English language is required
- Discretion with personal and confidential information
- Ability to multi-task and meet deadlines
- Self-starter and exercise sound judgement
- Strong organizational skills
- Proactive approach to problem solving
- A positive demeanor and an ability to relate to a broad range of individuals inside and outside the University
- Attention to detail
PERFORMANCE RESPONSIBILITIES
· Assume the role as the primary point of contact between the executives and internal/external clients
· Maintain a master calendar of all conferences, University events, and appointments
· Arrange executive travel, hotel, and travel arrangements as needed
· Monitor office supply levels; reorder when appropriate
· Develop and carryout efficient documentation and filing system for both paper and electronic records
· Schedule meetings and appointments and routinely inform President/Chief of Staff of schedules, obligations and commitments.
· Prepare invoices, reports, memos, letters, and other documents, using Microsoft applications – Word, Excel, PowerPoint, and Publisher.
· Prepare responses to correspondence containing routine inquiries.
· Answer phone calls, direct calls to appropriate parties and/or take messages.
· Greet visitors, ascertain purpose of visit and direct said persons to the appropriate office.
· Read and analyze incoming memos, submissions, and reports to determine their significance and share such with the President or Chief of Staff to the President prior to distribution to appropriate persons/offices.
· Open, sort, and distribute incoming correspondence, including faxes and email.
· Provide advanced secretarial skills in typing, filing, record-keeping, correspondence, and reception duties
· Prepare various travel forms and requisitions for business travel.
· Coordinates the flow of incoming communications and outgoing communications by receiving, routing, and/or responding to incoming communications and determining the appropriate office, department, or agency for outgoing communications.
· Perform other related duties as assigned by the supervisor to enhance the operations of the Office of the President.
