Job Description

About the Role:

The Bookkeeper plays a critical role in maintaining the financial health and accuracy of the organization by managing all aspects of financial record-keeping. This position ensures that all financial transactions are recorded accurately and timely, supporting the preparation of financial statements and reports. The Bookkeeper will oversee accounts payable and receivable, bank reconciliations, payroll, and general ledger maintenance to provide a clear and comprehensive view of the company’s financial status. Ultimately, this role is essential for maintaining the integrity of financial data and facilitating smooth financial operations within the company.

We are looking for a self-motivated, detail-oriented Bookkeeper to support our club’s financial operations on a temporary, part-time basis. This role requires someone who can work independently with minimal supervision, while maintaining clear communication and accuracy.

The Bookkeeper will report directly to the General Manager/Director of Tennis and will occasionally work with club members to resolve billing or account questions. The ideal candidate has strong accounting experience, proficiency with QuickBooks Online, and a willingness to learn our internal billing software.

Minimum Qualifications:

  • Proven experience as a Bookkeeper or in a similar accounting role.
  • Proficiency in QuickBooks and other accounting software.
  • Strong understanding of accounts payable, accounts receivable, bank reconciliation, and general ledger processes.
  • Knowledge of payroll processing procedures and software.
  • High school diploma or equivalent; a bachelors degree or certification in accounting or bookkeeping is preferred.

Preferred Qualifications:

  • Certification such as Certified Bookkeeper (CB) or 5+ years of bookkeeping experience
  • Experience working in a mid-sized or large organization.
  • Familiarity with additional accounting software and tools beyond QuickBooks.
  • Strong analytical skills and attention to detail.
  • Excellent communication skills to effectively collaborate with internal teams and external partners.

Responsibilities:

  • Maintain and update financial records using QuickBooks, ensuring accuracy and completeness of all bookkeeping entries.
  • Process accounts payable and accounts receivable transactions, including invoicing, payments, and collections.
  • Perform regular bank reconciliations to verify and balance company accounts.
  • Prepare and process payroll.
  • Maintain the general ledger by recording all financial transactions.
  • Assist in the preparation of monthly and/or annual financial reports and statements.
  • Collaborate with external accountants and auditors as needed.
  • Monitor and manage cash flow to support operational needs.
  • Learn and use internal billing software for member billing and reporting
  • Communicate with club members to address billing inquiries professionally and efficiently
  • Work independently while reporting to the General Manager/Director of Tennis

Skills:

The required skills such as QuickBooks proficiency and expertise in accounts payable and receivable are essential for accurately recording and managing daily financial transactions. Bank reconciliation skills ensure that the company’s financial records align with bank statements, preventing discrepancies and errors. Maintaining the general ledger requires meticulous attention to detail and organizational skills to track all financial activities comprehensively. Preferred skills like certification and advanced analytical abilities enhance the Bookkeeper’s capacity to handle complex financial data and contribute to strategic financial planning.
