Job Title: Fleet Operations Coordinator / Service Trainee

Location: On-site in [Miami / Fort Lauderdale], FL

Schedule: Monday – Friday, 8:00 AM to 6:00 PM

Compensation: $52,000 – $65,000 (based on experience)

Who We Are We run one of South Florida's largest commercial fleet vehicle repair networks. With 12+ locations and 24/7 operations, we service the biggest names in logistics—Amazon, UPS, USPS, DHL, and major commercial fleets. We operate at a high volume and a fast pace, and we have zero tolerance for errors.

The Role We are looking for a highly organized, sharp professional to work directly alongside our Operations Lead every single day. You do not need automotive experience; we will teach you everything. You just need to be the type of person who takes extreme ownership of everything they touch.

You will learn this business from the inside out—building invoices, tracking every vehicle moving through our system, and ensuring absolutely nothing falls through the cracks. You will learn faster here in three months than most people do in three years.

What You Will Do

  • Learn the Business: Master our full service writing process—from vehicle intake through invoice submission.
  • Manage Billing: Build accurate invoices from day one using our shop management system and AI tools.
  • Quality Control: Review invoices for accuracy before submission, catching errors, missing VINs, or incorrect amounts.
  • Track Operations: Monitor every vehicle's turnaround time and flag anything falling behind before it becomes a problem.
  • Pipeline Monitoring: Track the billing pipeline in real-time (submitted, pending approval, paid, delayed).
  • Daily Logistics: Handle operational tasks including data entry, internal communications, and professional follow-ups with clients, vendors, and fleet contacts.

What You Need to Succeed

  • Zero Automotive Experience Required: We will train the right person.
  • Hyper-Organized: You have a system for everything and nothing slips past you.
  • Detail-Oriented: You catch the mistakes that everyone else misses.
  • Tech-Savvy: You are highly comfortable with Google Sheets, new software, and AI tools.
  • Fast Learner & Self-Starter: You pick up processes quickly and find the next task without waiting to be told.
  • Communication: Professional and confident communicator via phone, email, and in person.
  • Language: Bilingual (English/Spanish) is strongly preferred.
  • Requirements: Must have US work authorization and be able to work fully on-site in [Miami / Fort Lauderdale]. (Prior admin, operations, or customer service experience is a plus!)
