We are seeking a highly organized and dedicated Clinical Research Site Administrative Assistant to join our dynamic clinical research team. Essentials
- Oversee and support all administrative duties in the research office and ensure that office is operating smoothly
- Manage office and clinical supplies inventory and place orders as necessary, in collaboration with research leadership
- Perform receptionist duties: greet patients, visiting professionals (monitors, sponsor representatives) , and answer direct phone calls
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Develop office policies and procedures, and ensure they are implemented appropriately
- Provide administrative support for research team
- Organize, schedule and coordinate all meetings and appointments in the Apex Training Center and Auxiliary Conference Room
- Maintain a safe and secure working environment
- Organize office events, meetings, and conferences
- Keep abreast of all organizational changes and business developments
- Assist with clinical research administrative duties, as assigned. (invoicing, spreadsheets (prescreening, enrollment, patient contacts, other)
Preferred/ Required
- Proven experience as an Office Administrator, Office Assistant, or relevant role- clinical research environment ideal but not necessary.
- Proficiency in MS Office (MS Excel and MS Word, PowerPoint, etc.)
- Familiarity with office management procedures and basic accounting principles
- Excellent organizational and time management skills
- Strong communication and interpersonal abilities
- High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus
- Knowledge of office equipment (e.g., printers, fax machines)
- Attention to detail and problem-solving skills
- Ability to multitask and prioritize daily workload
- Discretion with confidential documents and information
- Understanding of clerical practices and procedures
- Excellent written and verbal communication skills
- Strong planning and people management skills
- Ability to work under pressure and to tight deadlines
- Customer service orientation for dealing with visitors and clients
