Position Summary
The Operations Specialist supports the day-to-day operational functions of a PK–8 learning environment. This position assists in implementing, managing, and maintaining systems that ensure the school operates efficiently and effectively. The Operations Specialist works under the supervision of the Executive Director and collaborates with staff, families, community partners, vendors, and the authorized district.
This role requires a high level of flexibility and a willingness to support multiple operational areas as school needs evolve.
Key Responsibilities
Operations & Organizational Support
- Support the implementation and maintenance of school-wide operational systems.
- Assist the Executive Director with operational planning and execution.
- Step in to support operational gaps as needed to ensure continuity of services.
Finance & Grants (Support Role)
- Support financial operations as directed by the Executive Director.
- Write and support grant applications, including narratives, budgets, and required documentation.
- Assist with grant-related reporting, documentation, and compliance.
- Support RFP processes and vendor coordination as assigned.
- Participate in Finance Committee activities when requested.
Contracts, Compliance & Documentation
- Support management of contracts and operational documents.
- Assist with maintaining and updating the Safety Handbook.
- Support benefit procurement and renewals, including building insurance.
- Assist with updating policies to ensure compliance with state, district, and authorizer requirements.
- Support coordination and communication for construction or capital projects.
Communication & Coordination
- Support internal and external communication efforts.
- Assist with calendars, website updates, branding, and marketing initiatives.
- Support Board-related organizational and communication needs as assigned.
- Coordinate communication with the authorized district when requested.
Vendor & Partner Support
- Serve as a point of contact for operational vendors when assigned.
- Assist with coordinating vendor services, contracts, and timelines.
Technology & Systems Support
- Support technology operations and coordination with IT vendors.
- Assist with technology procurement.
- Support internet systems and Google Workspace.
- Provide basic technology support to staff and escalate issues as needed.
Enrollment & Student Services
- Support enrollment processes, documentation, and reporting.
- Assist with compliance requirements related to enrollment.
Events, Clubs & Community Engagement
- Support school events and assist the Event Committee.
- Assist with coordination of clubs and extracurricular activities.
- Support family and community engagement initiatives and communications.
Flexibility & Additional Duties (Important)
- Support transportation, facilities, safety, and other operational needs as required.
- May be asked to assist with tasks such as driving a school bus or covering operational needs.
- These responsibilities are considered part of the role and do not qualify for additional or overtime compensation.
- Perform other duties as assigned to support the overall operation of the school.

Evaluation
Performance of this position will be evaluated by the Executive Director in accordance with the AXL Academy evaluation system.
