Responsibilities:

  • Support receiving, distribution, transportation, records management, warehousing, storage, and inventory control functions.
  • Execute daily material movement across Mayo Clinic in accordance with safety, security, and productivity standards.
  • Collaborate with suppliers to expedite orders, manage returns, and resolve invoice and receipt issues.
  • Serve as a central point of contact for SCM Logistics, fielding high-volume requests via phone, mail, and fax from staff at all levels.
  • Research and resolve transactions for Invoices Not Received and Received Not Invoiced using data from multiple systems and reports.
  • Investigate specialty requests including proof of delivery, shipping mode identification, and return management.
  • Assist with distribution of medical products and services, including controlled substances and hazardous materials, per policy.
  • Use reports to assure data integrity for special handling instructions, expediting, critical orders, and routine fulfillment.
  • Identify trends that cause processing delays and collaborate with stakeholders to implement long-term solutions.
  • Comply with policies and applicable governmental regulations and support projects assigned by SCM leadership.

Required Skills & Qualifications:

  • Personal computer proficiency and ability to work across multiple systems and reports.
  • Strong communication and problem-solving skills with customer service orientation.
  • Time management, task prioritization, and ability to meet deadlines in a high-volume setting.
  • Teamwork, adaptability, flexibility, and continuous improvement mindset.
  • Excellent verbal and written communication; ability to share knowledge with customers and colleagues.
  • Basic understanding of accounting principles related to invoice and receipt reconciliation.
  • Education: High School diploma/GED and two years of supply chain or business-related experience, or an Associate’s degree with one year of experience.

Preferred Skills:

  • Experience in healthcare supply chain or logistics environments.
  • Familiarity with handling controlled substances and hazardous materials.

Licensure/Certification:

  • A valid driver’s license may be required for roles that include driving responsibilities.
