Compensation & Growth

Pay: $20.00 – $25.00 per hour (depending on HVAC dispatch and industry experience)

Affordable Air – Garland, Texas (Onsite)

We are looking for a highly organized Administrative Assistant / Dispatcher to join our team.

We are seeking a dependable, detail-oriented professional who thrives in a fast-paced office environment and takes pride in delivering excellent customer service. The ideal candidate will be a problem solver who can manage multiple responsibilities, keep technicians organized in the field, and ensure daily operations run smoothly.


Key Responsibilities

Customer Service & Communication

  • Answer incoming calls, emails, and messages from customers and new leads
  • Provide accurate information and assist customers with service inquiries
  • Resolve customer concerns professionally and efficiently
  • Document customer interactions and maintain accurate records


Scheduling & Dispatch

  • Schedule and dispatch HVAC technicians for service calls and installations
  • Manage the daily service calendar and technician routes
  • Communicate with technicians throughout the day to keep jobs on schedule
  • Ensure all jobs are properly closed out and documented at the end of each day


Administrative Support

  • Process permits, inspections, and warranty documentation
  • Register HVAC equipment and maintain customer records
  • Maintain organized filing systems and office documentation
  • Assist leadership with administrative tasks and internal operations


Office Organization

  • Maintain strong filing and organization systems
  • Assist with improving internal processes when needed
  • Maintain confidentiality of company and employee information


Qualifications

  • Experience in HVAC, home services, or construction industry REQUIRED
  • Previous administrative, office, or dispatch experience
  • Strong organizational and filing skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Excellent communication and customer service skills
  • Strong problem-solving ability and attention to detail
  • Dependable with a professional office demeanor
  • Team player with a positive attitude


Additional Skills (Plus but Not Required)

  • Experience assisting with marketing or social media advertising
