Customer Engagement Coordinator
Job Description
Lead Management
-
Respond promptly to all incoming calls and inquiries.

Monitor the company’s Meta account for new lead activity.
-
Track and follow up on all leads generated through JobNimbus forms (Website, Maycreate, Facebook).
-
Follow up on estimator-provided leads to move prospects through the sales pipeline.
Lead Appointment Scheduling
-
Schedule appointments for residential and commercial leads (excluding bid-to-spec projects).
-
Book a minimum of 2 and maximum of 3 appointments daily, ensuring routes remain within mileage limits.
New Install Processing
-
Review ComCam uploads for photos and work scopes; follow up with estimators if incomplete.
-
Add projects to the schedule tracker and prepare Work Orders.
-
Coordinate with the Field Service Manager to plan tentative installation dates.
-
Convert approved estimates into invoices for billing.
Customer Installation Onboarding
-
Confirm invoice receipt and assist with material deposit collection.
-
Discuss upcoming availability and potential installation dates.
-
Communicate next steps, including Field Service Manager introductions.
Reporting
-
Maintain and update the following reports:

Lead Source Report – Daily updates, quarterly summaries
-
Monthly Sales Report – Daily entries, quarterly overviews
-
Maycreate Reports – Monthly and quarterly preparation/review
-
Scorecard – Weekly assigned section updates
-
Communication & Engagement
-
Monitor Google Reviews to support reputation management.
-
Maintain JobNimbus Automations for smooth workflows.
-
Manage the info@chattfcs.com inbox with timely, professional responses.
Event Coordination
-
Spring Event – Plan seasonal outings (e.g., Lookouts game or company gathering).
-
Big Pig Festival (May) – Lead logistics, supplies, setup, and event participation.
-
Annual In-Service Day – Organize seating, catering, and logistics.
-
Christmas Party – Plan catering, entertainment, and activities.
-
Trade Shows – Prepare booth, manage setup, and assist with staffing.
Media Coordination
-
Schedule and coordinate photo shoots with photographer and customers.
-
Organize and film customer testimonial videos.
General Office Duties
-
Sort and deliver mail.
-
Collect monthly credit card receipts for the bookkeeper.
-
Maintain office supply inventory.
-
Reorder printed company materials (DX Printing).
