Job DescriptionSHIPPING COORDINATOR
Reports To: Shipping Manager
POSITION SUMMARY
The Shipping Coordinator is a critical member of the logistics team, responsible for managing day-to-day outbound transportation operations. This role ensures timely and cost-effective movement of goods while meeting customer requirements, optimizing freight efficiencies, and maintaining documentation accuracy. The ideal candidate will be detail-oriented, highly organized, and skilled in coordinating with a variety of stakeholders including third-party logistics providers, drivers, internal teams, and customers.
KEY RESPONSIBILITIES
- Dispatching & Driver Coordination - Schedule and dispatch flatbed drivers in alignment with load timelines and customer requirements.
- Third-Party Logistics Coordination (3PL) - Liaise with brokers to arrange timely and cost-effective freight pickups.
- Shipment Planning & Tendering - Tender loads efficiently, optimizing routes and consolidating shipments to enhance service levels and maximize profitability.
- Load Tracking & Maintenance - Collaborate with internal departments to address load issues, close completed deliveries, and ensure the collection of all required shipment documentation.
- Inventory & Load Efficiency - Assist with managing finished goods inventory, ensuring loads are balanced and space is used efficiently.
- Stakeholder Communication - Maintain consistent communication with brokers, drivers, loaders, project managers, and customers to identify and fulfill shipping needs.
- Documentation Handling - Generate and process essential shipping documents including Bills of Lading (BoLs), packing lists, and customs clearance paperwork.
- Customs Compliance - Prepare, submit, and file all necessary documents for international shipments requiring customs clearance.
- Administrative Support - Support filing systems and maintain accurate records for audit readiness and operational transparency.
- Special Shipment Coordination - Organize and manage unique freight requirements, including Parcel, LTL, and Airfreight movements.
- Process Improvement - Participate in identifying and implementing continuous improvements within the Shipping Department.
- KPI Support - Assist in the development and tracking of key performance indicators (KPIs) relevant to shipping operations.
- Other Duties and additional responsibilities and special projects as assigned.
QUALIFICATIONS
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Logistics, Supply Chain, or a related field preferred.
- Minimum 2–3 years of experience in shipping, dispatching, or logistics coordination.
- Familiarity with transportation management systems (TMS) and enterprise resource planning (ERP) tools.
- Strong organizational, analytical, and communication skills.
- Ability to multitask and work effectively under pressure in a fast-paced environment.
- Working knowledge of shipping regulations, documentation, and customs processes is a plus.
WORK ENVIRONMENT & PHYSICAL DEMANDS
- Office and warehouse setting; may require occasional lifting of packages.
- Outside in parking lot in all weather elements occasionally.
- Use of standard office equipment and software.
- Flexibility in schedule may be required during peak operational periods.
