Job Title: Recruiting Coordinator
Department: Talent Acquisition

Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Local Time)

Position Summary:

The Recruiting Coordinator plays a vital role in supporting the Talent Acquisition team by managing the administrative and operational aspects of the recruitment process. This individual ensures an exceptional experience for both candidates and hiring teams by facilitating smooth communication, scheduling, and logistics throughout the recruiting lifecycle. The Recruiting Coordinator is also responsible for maintaining accurate records in the Applicant Tracking System (ATS), supporting job postings and advertising efforts, and upholding service level agreements to maintain timely candidate engagement.

Key Responsibilities:

  • Coordinate recruitment efforts, including interview scheduling and communication between candidates and hiring managers.

  • Post internal and external job openings across multiple platforms and job boards.

  • Utilize the Applicant Tracking System (Workday preferred) to document and communicate recruiting-related information.

  • Deliver a best-in-class interview experience for candidates and hiring teams.

  • Actively manage candidates generated via referral programs and ensure timely follow-up.

  • Monitor and enforce service level agreements (SLAs) to ensure consistent candidate engagement throughout the hiring process.

  • Prepare and send offer letters and onboarding packets.

  • Conduct background checks, reference checks, and other pre-employment screening tasks.

  • Notify candidates of hiring decisions with professionalism and care.

  • Support and participate in recruiting events, including job fairs, open houses, and campus recruiting initiatives.

  • Stay informed on industry trends and candidate market conditions through research and data collection.

  • Identify and implement process improvements to enhance recruitment operations.

  • Maintain strict confidentiality regarding sensitive candidate and business information.

  • Provide administrative support to recruiters and hiring teams, including data management and reporting using Microsoft Excel (pivot tables, filtering, etc.) and assisting with presentations in PowerPoint.

Qualifications:

Required:

  • High School Diploma or GED.

  • Minimum of 3 years in a professional office environment.

  • At least 1 year of experience in HR, recruiting, or staffing agency environments in a support role.

  • Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint).

  • Strong organizational and time-management skills.

  • Ability to prioritize tasks in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • Discretion and professionalism in handling confidential information.

  • Self-starter with strong attention to detail and a proactive approach to problem-solving.

Preferred:

  • Experience working with Applicant Tracking Systems (Workday highly preferred).

  • Background in job advertising or recruitment marketing.

  • Familiarity with internet research and sourcing techniques.
