Position Overview

We are seeking a detail-oriented and reliable Administrative Assistant to join our property management team. The ideal candidate will have excellent organizational skills, strong communication abilities, and a proactive attitude. This position supports our management and operations teams by handling a variety of administrative tasks, ensuring smooth day-to-day office functions, and delivering excellent customer service to homeowners, tenants, and vendors.

This role is perfect for someone who thrives in a structured environment, enjoys helping others, and takes pride in keeping things running efficiently behind the scenes.

Responsibilities

  • Provide administrative support to property and HOA managers

  • Answer phones, route calls, and respond to general inquiries in a professional manner

  • Manage correspondence, emails, and documentation for multiple departments

  • Maintain organized digital and physical filing systems

  • Assist with data entry, reporting, and updating property management software

  • Schedule meetings, prepare agendas, and record meeting minutes when needed

  • Coordinate with vendors, residents, and team members to ensure timely follow-up on requests

  • Assist with processing invoices, owner statements, and other accounting-related tasks

  • Support management with special projects and general office operations

Qualifications

  • Minimum 2 years of administrative or office experience (property management or real estate preferred)

  • Strong attention to detail and excellent time management skills

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software

  • Exceptional written and verbal communication skills

  • Professional, dependable, and team-oriented demeanor

  • Ability to multitask in a fast-paced office environment

  • Must pass a background check
