RESPONSIBILITIES: The Admissions Coordinator is responsible for reviewing and preparing for new admissions in accordance with established policies and procedures. They will also be responsible for maintaining relations with community partners, family members, and personnel. This position serves as the initial contact for the admissions office. The Admissions Coordinator will manage tasks such as handing out forms, answering calls, writing reports, and dealing with queries as well as complaints

MAJOR FUNCTIONS:

  1. Assist with client queries and admissions procedures.

  2. Analyze the needs for each individual and follow through accordingly.

  3. Manage the admissions and onboarding for Adult Outpatient Services; including verifying Medicaid and/or other insurance plans are active and clearing the client financially.

  4. Document, organize, and input information to proper facilities and databases.

  5. Handle communication via phone calls and emails from prospective clients.

  6. Coordinate with Care Coordinator and therapy team or scheduling assessments and new admissions.

  7. Coordinate with admissions team to plan events and arrange other important dates.

  8. Complete substance use disorder evaluations (SUDE) as deemed appropriate.

  9. Complete ESBIRT Assessments as deemed appropriate.

  10. Answer application and enrollment inquiries from the public.

  11. Maintain excellent front-of-desk relations with clients.

  12. Practice an extremely high level of confidentiality.

  13. Maintain relevant records and documentation, uploading all intake packets completed and referral information/court orders within 24 hours of receipt.

  14. Provide input on how to improve processes based on client feedback.

  15. Cultivate and maintain relationships with stakeholders and referral sources.

EDUCATION AND/OR EXPERIENCE: High School Diploma or equivalent GED and a minimum of 2 years’ experience in a similar role/sector OR appropriate combination of education and experience is required.

QUALIFICATIONS: To ensure success in this role, it is necessary to be organized, efficient, and able to communicate effectively with people. Proficiency in Microsoft Office and efficient typing and data-capturing abilities are required. Ability to work in a fast-paced environment. Must be able to work as part of a team. The admissions coordinator professionally represents the company and must operate with a high-level of tact and meet all deadlines.

CERTIFICATES, LICENSES, REGISTRATIONS: Must maintain current certifications in Non-violent crisis intervention, CPR, and First Aid. Classes with be provided by New Day. Must have a valid, current Montana driver’s license with an insurable driving record. Comply with the Immigration control and Reform Act through the filing out of an I-9 form.
