Job Overview: The Client Service Manager is responsible for managing the annuity and insurance application processes, overseeing funding, correcting NIGOs (Not In Good Order items), and ensuring that all client services are completed accurately, timely, and professionally. This role serves as the operational backbone of the client experience after the client has officially partnered with Buska. The ideal candidate is exceptionally detail-oriented, organized, and thrives in a client-focused environment.
Reports To: Chief People Officer
Responsibilities:
- Manage and process all annuity and insurance applications, ensuring completeness and accuracy.
- Oversee the funding process for current business, including transfers, rollovers, and contributions.
- Process and track death claims for clients.
- Send reallocation changes to carriers based on recommendations from advisors.
- Track and monitor monthly spreadsheets and commission statements for current business.
- Monitor applications for NIGOs, promptly resolving any deficiencies with clients, advisors, and product providers.
- Serve as the primary point of contact for clients regarding post-sign-on paperwork, funding updates, and service inquiries.
- Track and maintain
accurate records of all applications, funding statuses, and outstanding service items in CRM and internal systems.
- Continuously review and enhance operational workflows to improve efficiency and client experience.
- Serve as a subject expert for advisors, insurance carriers, and financial institutions to expedite processing and ensure service excellence.
- Ensure compliance with all regulatory requirements related to client services and documentation.
- Provide periodic updates to leadership on service metrics, application turnaround times, and client satisfaction.
- Ensure all client communications are logged, tracked, and followed up on in a timely manner.
- All other duties as assigned.

Physical Requirements: This position is mainly sedentary. Must be able to get up and down at the desk frequently and walk around as needed. It is occasionally required (less than 5% of work hours) lifting, hauling of items in storage or marketing/seminar equipment. Not to exceed 50 pounds.
Job Qualifications/Skills:
- Bachelors degree in Business, Finance, or a related field (or equivalent experience).
- 5+ years of experience in client services, operations, or new business processing within financial services, preferably retirement planning, insurance, or wealth management.
- Deep understanding of annuity and insurance products, application procedures, and funding processes.
- Strong working knowledge of NIGO resolution and best practices for clean application submissions.
- Excellent organizational skills with a high level of accuracy and attention to detail.
- Outstanding communication skills, both written and verbal.
- Proficiency in CRM platforms and document management systems.
- Ability to handle sensitive client information with utmost confidentiality and professionalism.
