Job DescriptionOur rapidly growing construction client in Pasadena is seeking an experienced Office Manager to oversee daily office operations and support the company’s partners in driving organizational efficiency. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment and has a strong background in construction administration.
The Office Manager will lead the administrative team, coordinate office workflows, support marketing efforts, manage proposals, and ensure smooth day-to-day operations across the organization.
Key Responsibilities
Maintain and organize the company’s filing systems
Oversee daily office operations and administrative workflows
Prepare contract reviews, special certificates of insurance, and customer credit evaluation requests
Respond to customer inquiries and provide excellent service
Manage accounts payable, accounts receivable, and collections
Coordinate meetings, conference room setup, and conference call logistics
Assist with payroll processing and workers’ compensation documentation
Support project submittals and handle special projects as needed
Answer and direct incoming phone calls
Manage incoming and outgoing mail
Oversee office supply inventory and vendor relationships
Recruit, train, and supervise administrative staff, including performance management and delegation of tasks
Qualifications
Proven experience as an Office Manager within the construction industry
High school diploma required; Associate’s or Bachelor’s degree preferred
Proficiency in Microsoft Excel
Experience with QuickBooks
Strong organizational, communication, and leadership skills
Ability to manage multiple priorities and maintain accuracy in a fast-paced environment
