We are seeking a detail-oriented and experienced Administrative Professional / Payroll Specialist to join our team. This person must be able to multi-task and perform multiple roles for the company.

The Payroll Specialist role includes the responsibility of ensuring accurate and timely processing of employee payroll, maintaining payroll records, and ensuring compliance with all applicable laws and regulations. This role requires strong analytical skills, confidentiality, and a solid understanding of payroll procedures and systems.

The Administrative Professional role serves as the first point of contact for clients, visitors, and staff. This role is responsible for managing the front desk area, handling incoming communications, providing general administrative support to the various departments, and maintaining a welcoming and professional environment.

Payroll Specialist Key Responsibilities:

  • Process weekly payrolls accurately and on time for all contract employees.
  • Maintain and update payroll records, including new hires, terminations, raises, deductions, bonuses, and overtime.
  • Resolve employee payroll inquiries and discrepancies in a timely and professional manner.
  • Maintain confidentiality of payroll information.
  • Stay current with changes in payroll laws and regulations.
  • Invoicing for customers.
  • Maintain AR reporting.

Administrative Professional Key Responsibilities:

  • Greet and welcome guests in a warm, friendly, and professional manner.
  • Maintain front desk security by following procedures and controlling access
  • Respond to general inquiries in person, by phone, text or by email.
  • Maintain a tidy and organized reception area.
  • Provide administrative support such as data entry, photocopying, filing, and document preparation.
  • Assist other departments with clerical tasks as needed.
  • Handle confidential information with discretion.

Qualifications:

  • 2+ years of experience in payroll processing or a related role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent attention to detail and organizational skills.
  • Ability to handle confidential information with integrity.
  • Strong communication and interpersonal skills.
  • Proven experience as an Administrative Professional, front office representative, or similar role preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and attitude.
  • Customer service orientation.
