Job Description

The Executive Assistant is responsible for providing high-level administrative assistance to several members of the Executive group including COO, VP of Sales, VP of Varietal, Sr. Director Category Management & Marketing and Managing Director, Export. The Executive Assistant serves as the primary point of contact for internal and external partners on all matters pertaining to the Executive group. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Essential Job Functions and Responsibilities:

  • Managing several calendars, making appointments and prioritizing the most sensitive matters
  • Composing and preparing correspondence
  • Arranging complex and detailed travel plans, itineraries, and agendas; and collecting for travel related meetings
  • Providing administrative assistance, such as drafting and editing emails, memos, reports and preparing communications on the executive team’s behalf.
  • Working closely and effectively with the Executive group to keep them informed on upcoming meetings, commitments, events and responsibilities, following up appropriately
  • Organizing and preparing for meetings, such as Executive Committee, Grower meeting, Board of Director meetings, customer meeting and tradeshows.
  • Prioritizing conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
  • Performing some accounting duties such as submitting invoices, handling deposits and check requests, and creating and processing expense reports though the proper accounting system(s).
  • Organize and execute several annual off-site meetings; coordinating locations, hotels, travel, meeting space, meals and transportation.
  • Coordination of customer visits and meetings; including scheduling, meeting space, packinghouse tours and catering when necessary.

Minimum Educational and Experience Qualifications/Requirements:

  • At least 4-6 years of experience as an Executive Assistant, Administrative Assistant, or similar role preferred
  • 4-year bachelor’s degree preferred.
  • Supervisory experience of others preferred
  • Ability to understand, research and follow different compliance guidelines applicable to the job
  • High level of professionalism with the ability to maintain sensitive and confidential information
  • Demonstrate ability to use tact and discretion; ability to maintain confidentiality of information of other related matter required
  • Ability to think critically and exercise mature judgement
  • Must be proactive and able to work independently, manage multiple tasks and conflicting priorities
  • Must posses strong verbal, written and interpersonal skills; ability to communicate with all levels
  • Exemplary time management, detail-orientation, and organizational skills and ability to meet deadlines
  • Ability to problem solve, be resourceful and make independent, effective decisions
  • Strong proficiency with Microsoft Office Suite and other office equipment
