Sterling Personnel, Inc. is seeking an Administrative Assistant for our industrial client in Ingleside, TX. The Administrative Assistant will need to ability to manage multiple projects in a fast-paced priority changing environment. Client will provide training towards understanding the many facets of contributions to the marine industry. This is a temp-to-hire position. The schedule is Monday - Friday, 8am-5pm, and the pay is $20/hour.
Duties and Responsibilities
- Provide high level administrative support to the Ingleside Operations and Corporate staff.
- Ability to answer multiple phone lines in a professional and courteous manner.
- Provide exceptional customer service to domestic and international customers & crew members.
- Distribute mail/correspondence to others in the office.
- Create, prepare, and develop presentations when needed.
- Prepare professional correspondence and compile reports.
- Prepare and/or assist with travel arrangements.
- Calendar management skills, including the coordination of sign in sheets and distribution for executive meetings, MPRAs, JAM sessions, and events.
- Order and maintain all Ingleside office supplies and inventory.
- Assist Corporate HR with all crew members for Onboarding, New Hires, Employment Separations, Open Enrollment, Reports, Sea Time Letters, etc.
- First point of contact for ALL HR related issues
- Shoreside and Contractor timesheets
- Process drug testing and physicals for Ingleside Division
- Maintain Crew Credential spreadsheet for Ingleside Division
- Create and maintain accurate databases, contact records, and customer information.
- Assist additional administrative personnel throughout the divisions with special projects or other assigned responsibilities.
- Work independently and take the initiative to see tasks through to completion with minimal supervision.
- All other tasks as assigned.
Experience and Qualifications
· Bachelor’s or Associate's degree from an accredited college or university
- Minimum GPA of 3.0
· At least 2 years’ experience performing administrative functions in a fast-paced office environment
· Background in the maritime industry is preferred but not required
