This is a full time on site role based in Tampa, Florida, for an Executive Administrative Assistant.


This role involves providing comprehensive administrative support to company executives, managing daily tasks such as:

Manage executive calendar & communications, organize meetings and events

Maintain office records, screen calls/ messages, user/account set up coordination

Keep inventory and order supplies for the office

Support special projects, driving deadlines and ensuring coordination across teams

Review daily correspondences and answer requests promptly, coordinate w/ other departments as necessary; coordinating with HR/accounting/legal

Renew registrations and coordinate business vehicle maintenance appointments

Travel changes/emergency rebooking for CEO and partners

Oversee mixed portfolio of commercial and residential properties; collect/follow-up on rent payments and increases, pay HOAs, review leases upon renewal, schedule maintenances, coordinate w/ tenants on inspections; proactively ensure insurance renewals/changes have been addressed and updated on file

Personal use of vehicles required to assist with daily errands - occasional personal errands and drop offs


The Executive Administrative Assistant will also maintain office operations and ensure seamless communication within and outside of the organization.


Qualifications:


Strong Administrative Assistance and clerical skills to manage scheduling, multi-tasking, data entry and excellent organizational skills.

Experience with calendaring, meeting preparation, and project coordination

Professional phone etiquette and excellent communication skills, both written and verbal, to interact effectively with internal and external stakeholders

Ability to manage multiple priorities efficiently and work well in a fast paced environment

Proficiency in office software such as MS Office Suite (Word, Excel, PowerPoint, Outlook).

High level of attention to detail, reliability, and discretion when handling sensitive information

Prior experience in a similar role is preferred but not mandatory
