Position Summary:
We are seeking a highly organized and experienced Medical Office Manager to oversee the daily operations of a busy mental health practice. The ideal candidate will have a strong background in New York/New Jersey No-Fault Insurance, New York Workers’ Compensation, and Lien processing, along with comprehensive knowledge of the revenue cycle, including billing, collections, and scheduling. This role requires excellent communication skills and the ability to collaborate effectively with administrative staff, clinical teams, and executive leadership.
Key Responsibilities:
- Manage and optimize front and back-office operations to ensure efficient patient flow and administrative accuracy.
- Oversee and ensure compliance with NY/NJ No-Fault and NY Workers’ Compensation regulations.
- Handle lien processing and maintain accurate documentation for legal and insurance purposes.
- Supervise the full revenue cycle process, including billing, insurance claims, collections, and payment posting.
- Coordinate scheduling for providers and staff, ensuring optimal resource utilization.
- Train, mentor, and manage administrative and billing staff.
- Serve as a liaison between clinical staff and executive leadership to align operational goals.
- Monitor KPIs and generate reports to track financial and operational performance.
- Implement and maintain office policies and procedures to ensure regulatory compliance and operational efficiency.
Qualifications:
- Minimum 3–5 years of experience in a medical office management role.
- Proven expertise in NY/NJ No-Fault, NY Workers’ Compensation, and lien processes.
- Strong understanding of medical billing, collections, and revenue cycle management.
- Proficiency in EHR systems and medical billing software.
- Excellent leadership, organizational, and interpersonal skills.
- Ability to multitask and thrive in a fast-paced environment.
Preferred Skills:
- Experience working with legal teams or personal injury cases.
- Familiarity with compliance standards such as HIPAA and OSHA.
- Bilingual abilities are a plus.
