Duties & Responsibilities:
- Handle incoming calls and other communications.
- Greet guests, direct them to meeting rooms and refresh conference rooms following the conclusion of meetings.
- Arrange staff meetings, manage calendars, check for conflicts with other team members and external parties.
- Interfacing with external executives and executive assistants to arrange meetings.
- Document control, process proposals, contracts and work orders.
- Staffing coordinator, new employee onboarding, health benefits and payroll assistance.
- Maintain office supplies, fill/restock as needed.
- Assisting A/P & A/R, data entry, running errands and bank deposits/payments.
- Other administrative tasks, as necessary.
Qualifications & Skills:
- 2-5 years experience in providing administrative support to senior executives.
- Bachelors degree in business/communications or equivalent work experience.
- Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
- Good verbal and written communication skills.
- Strong desire to provide consistent outstanding customer service under tight deadlines.
- Ability to work in a small-office environment.
- Ability to work collaboratively with other support staff.
- Ability to work on multiple projects at the same time.
- Well organized, detail oriented, with the ability to multitask.
- Dependability and punctuality is required.
