Commercial Construction Project Coordinator
Position Title: Commercial Construction Project Coordinator
Location: Houston, Texas
Employment Type: Full-Time
Position Summary
We are seeking an experienced Commercial Construction Project Coordinator to support the successful execution of commercial construction projects from preconstruction through closeout. The ideal candidate will have a strong understanding of construction administration, project documentation, subcontractor coordination, and accounting processes. This individual will serve as a key point of contact between project managers, subcontractors, vendors, clients, and internal teams to ensure projects are delivered efficiently and accurately.
Candidates must have a minimum of 5 years of commercial construction project coordination experience, with 10+ years preferred.
Key Responsibilities
- Coordinate and manage project documentation throughout the project lifecycle.
- Prepare, track, and distribute Requests for Information (RFIs).
- Manage the submittal process, including review tracking and document distribution.
- Prepare, process, and track change orders.
- Coordinate and maintain project logs for RFIs, submittals, change orders, and closeout documents.
- Assist with project budgeting, invoicing, and contract administration.
- Review and process subcontractor invoices and vendor billing.
- Prepare and assist with AIA pay applications, including lien waivers and supporting documentation.
- Serve as the primary point of contact for subcontractors, suppliers, and project stakeholders regarding project documentation and administrative matters.
- Maintain accurate project records and ensure compliance with contractual requirements.
- Support project managers with scheduling, procurement tracking, and project reporting.
- Coordinate project closeout documentation, warranties, operation manuals, and final submissions.
- Facilitate communication between field operations, accounting, and project management teams.
Required Qualifications
- Minimum 5 years of experience as a Project Coordinator in commercial construction.
- Strong working knowledge of Sage 100 Contractor (required).

- Experience coordinating subcontractors and vendors.
- Strong understanding of commercial construction processes, contracts, and project administration.
- Excellent organizational skills with the ability to manage multiple projects simultaneously.
- Proficient in Microsoft Office Suite, including Excel, Word, and Outlook.
- Strong written and verbal communication skills.
Preferred Qualifications
- 10+ years of commercial construction experience.
- Working knowledge of Procore construction management software.
- Experience with commercial projects in sectors such as healthcare, education, industrial, retail, or office construction.
- Familiarity with construction accounting procedures and job cost tracking.
- Experience supporting multiple project managers and active project portfolios.

Compensation & Benefits
- Competitive salary of $60,000 - $70,000, based on experience.
