Overview
A highly regarded law firm is seeking an experienced Executive Assistant to provide dedicated support to a senior Tax Partner. This role requires exceptional organizational skills, strong judgment, and the ability to manage complex workflows in a fast-paced, client-focused environment. The ideal candidate is proactive, resourceful, and able to handle confidential information with the utmost professionalism.
Key Responsibilities
Executive Support & Administration
- Provide high-level administrative support to a senior Tax Partner, serving as the primary point of contact.
- Manage a dynamic calendar, prioritize meetings, and coordinate all logistics.
- Prepare and organize domestic travel, schedules, and related materials.
- Screen, prioritize, and manage incoming communications; draft correspondence as needed.
- Maintain strict confidentiality of sensitive information at all times.
Document & Workflow Management
- Prepare, proofread, and format documents, presentations, and correspondence with a high degree of accuracy.
- Organize and maintain files, records, and practice-related documentation.
- Handle time entry, expense reports, and assist with monthly billing processes.
Project Coordination
- Coordinate internal and external meetings, including agendas, materials, and follow-up tasks.
- Assist with practice-specific projects, research, and preparation of client deliverables.
- Interact professionally with clients, colleagues, and external contacts on behalf of the Partner.
Required Qualifications
- 5+ years of experience supporting senior executives or partners, ideally within a law firm or professional services environment.
- Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Ability to manage multiple competing priorities and meet deadlines.
- Extremely organized, detail-oriented, and proactive.
- Ability to work independently with minimal supervision in a fast-paced environment.
