Executive Assistant – Full-Time, On-Site

Compensation: Up to $150,000 (commensurate with experience)

Location: Mineola, NY

Schedule: Monday–Friday, on-site

Overview

A highly regarded law firm is seeking an experienced Executive Assistant to provide dedicated support to a senior Tax Partner. This role requires exceptional organizational skills, strong judgment, and the ability to manage complex workflows in a fast-paced, client-focused environment. The ideal candidate is proactive, resourceful, and able to handle confidential information with the utmost professionalism.

Key Responsibilities

Executive Support & Administration

  • Provide high-level administrative support to a senior Tax Partner, serving as the primary point of contact.
  • Manage a dynamic calendar, prioritize meetings, and coordinate all logistics.
  • Prepare and organize domestic travel, schedules, and related materials.
  • Screen, prioritize, and manage incoming communications; draft correspondence as needed.
  • Maintain strict confidentiality of sensitive information at all times.

Document & Workflow Management

  • Prepare, proofread, and format documents, presentations, and correspondence with a high degree of accuracy.
  • Organize and maintain files, records, and practice-related documentation.
  • Handle time entry, expense reports, and assist with monthly billing processes.

Project Coordination

  • Coordinate internal and external meetings, including agendas, materials, and follow-up tasks.
  • Assist with practice-specific projects, research, and preparation of client deliverables.
  • Interact professionally with clients, colleagues, and external contacts on behalf of the Partner.

Required Qualifications

  • 5+ years of experience supporting senior executives or partners, ideally within a law firm or professional services environment.
  • Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Ability to manage multiple competing priorities and meet deadlines.
  • Extremely organized, detail-oriented, and proactive.
  • Ability to work independently with minimal supervision in a fast-paced environment.
