John C. Cassidy is seeking a dedicated and results-driven Sales and Installation Specialist to support our growing sales operations. This role serves as the central link between sales, installation, and customer experience driving revenue growth, managing technician-generated leads, and coordinating Comfort Advisor assignments to ensure accuracy and account protection. The Sales and Installation Specialist oversees all call management functions in ServiceTitan, including scheduling, dispatching, and closing, while maintaining precise documentation and follow-through. Working closely with the Installation Department, this role ensures sales commitments align with capacity and client expectations, facilitating seamless project handoffs. Proficiency in ServiceTitan and OnCall Air is essential for managing leads, proposals, and follow-ups. The ideal candidate is highly organized, analytical, and customer-focused, supporting company goals through strong communication, KPI tracking, and data-driven sales coordination.

What You'll Do:
Lead Generation and Outbound Sales
- Serve as the primary driver of outbound sales initiatives by proactively engaging prospective clients through targeted calls, emails, and follow-ups to generate and qualify high-value leads
- Schedule sales consultations and assign Comfort Advisors to ensure alignment with protected accounts and client needs
- Ensure rapid response to inbound leads (“Speed to Lead”) and efficient distribution to optimize outcomes
Technician Lead Coordination
- Act as the key contact for technicians generating turnover leads during service visits
- Facilitate effective handoffs between technicians and Comfort Advisors for repair vs. replacement evaluations
- Track all tech-generated leads to ensure prompt follow-up and maximize conversion rates
Comfort Advisor Assignment and Call Management
- Assign Comfort Advisors based on geographic territories, expertise, account protection protocols, and specific client requirements
- Safeguard protected accounts by verifying advisor assignments align with ownership and client history
- Manage all call stages—dispatching, arriving, and closing—in ServiceTitan with accurate and detailed notes
- Optimize advisor schedules for productivity, coverage, and sales efficiency
Installation Department Collaboration
- Work closely with the Installation Department to confirm availability, align schedules, and resolve potential conflicts
- Ensure sales commitments are aligned with installation capacity and client expectations
- Oversee project transitions from sales to installation, ensuring thorough documentation and clear communication
Sales Pipeline and CRM Management
- Utilize ServiceTitan to manage lead progression, call assignments, scheduling, and performance tracking
- Monitor key sales metrics such as conversion rates, revenue per assignment, and proposal timelines
- Maintain dashboards and ensure all activities are accurately documented for transparency and reporting
Proposal and Follow-Up Oversight
- Ensure Comfort Advisors deliver timely and professional proposals via On Call Air
- Track follow-up activities, maintaining consistent communication with clients to drive conversions
- Verify CRM entries, ensuring notes and documentation are complete and accurate
Sales Recovery and Rehash
- Identify stalled or lost leads to reactivate potential revenue opportunities
- Collaborate with Comfort Advisors to revisit prior proposals and improve close rates through strategic re-engagement
Customer Experience and Happy Calls
- Conduct post-appointment “Happy Calls” to verify customer satisfaction and collect actionable feedback
- Share insights with sales, installation, and service teams to drive quality and performance improvement
Financing Support
- Assist clients and advisors in selecting suitable financing options
- Ensure all financing details are clearly reflected in proposals and monitor adoption rates (target: 20% financed assignments)
Gross Margin and KPI Oversight
- Support Comfort Advisors in maintaining gross margin targets and review pricing structures for profitability alignment
- Track KPIs including revenue per assignment ($12,500 target) and close rate (60% target)
- Provide ongoing performance reports to leadership, highlighting trends and optimization opportunities
What You'll Bring:
Required
- Minimum of two years of experience in sales coordination, customer service, or administrative roles
- Exceptional organizational and multitasking skills to manage complex workflows, including call assignments and account protection
- Strong communication and interpersonal skills to engage with clients and cross-functional teams
- Proficiency in ServiceTitan, including managing call dispatching, arriving, and closing with accurate notes, and familiarity with OnCall Air
- Ability to work independently and collaboratively across departments
Preferred
- Experience in HVAC, residential services, or construction industries
- Knowledge of sales metrics, financing options, gross margin principles, and account protection strategies
- Familiarity with account management and protected account protocols
