We represent a client in the healthcare industry in Collegeville who is looking for a confident, organized, and people-centered Office Administrator who is excited to help their practice grow. This role is perfect for someone who enjoys leadership, loves creating order, and thrives in a fast-paced, patient-focused environment. This position plays a key role in keeping the practice productive, profitable, and running smoothly so the doctor can focus on delivering high quality care. The ideal candidate will support the doctor in achieving the goals of the practice by keeping the office organized, productive, and aligned with clear systems and policies. The goal is a well-run workplace with excellent patient flow, a happy and well-trained team, and a doctor who can focus fully on patient care.
Salary - up to $65K with bonus based on key performance indicators for the office
Benefits - PTO and Dental
Schedule:
Mon/Wed 8 to 5 (1 hr lunch)
Tue and F 8-2:30 (no lunch)
Thur 9:30 to 7 (1 hr lunch)
Responsibilities:
● Leadership and Management of office procedures
● Organization - ensure the practice operates productively, profitably, and in alignment with established policies.
● Ensure daily tasks are completed by getting the team fully engaged and on track.
● Train team members to excel in their roles and ensure they understand their responsibilities.
● Keep communication clear and positive between the doctor, staff, patients, and vendors.
● Build a culture of teamwork, enthusiasm, and continuous improvement.
● Run or assist with staff meetings and help coordinate plans with the doctor.
● Address problems quickly and maintain a high standard of professionalism in the practice.
● Maintain accurate personnel files and oversee performance reviews.
Patient Flow and Production
● Ensure the office runs smoothly and patients move efficiently prior/after their appointments.
● Step in to resolve any issue that slows or disrupts patient care.
● Stay calm under pressure and guide the team through busy or challenging moments.
● Maintain strong communication lines so every department works together seamlessly.
Financial Oversight
● Help ensure all financial processes are handled accurately and ethically.
● Good match aptitude for financial conversations with patients and insurance company
● Make sure day sheets balance and patient accounts remain accurate.
● Support or oversee accounts payable when directed by the doctor.
● Ensure income consistently exceeds expenses.
● Uphold all financial policies set by the practice owner.
