Full-Charge Bookkeeper Job Summary
We are seeking a detail-oriented Full-Charge Bookkeeper to manage accounting processes and collaborate with our Finance Manager on budget planning and cash flow management. This position is responsible for maintaining accurate financial records, managing daily accounting operations, and providing financial reporting to management. The ideal candidate will have strong skills in accounts receivable, accounts payable, and financial reconciliations.
Key Responsibilities:
Accounts Receivable
- Process customer invoices and maintain accurate billing records
- Monitor accounts receivable aging and follow up on overdue accounts
- Apply customer payments and maintain customer account details
- Generate monthly customer statements and coordinate collection efforts
- Prepare and analyze accounts receivable reports for management
- Take and post payments from current students and alumni
- Make bookstore inventory adjustments
Accounts Payable
- Process vendor invoices and ensure accurate coding to appropriate accounts
- Maintain vendor files and relationships
- Schedule and process vendor payments in a timely manner
- Monitor cash flow for payment planning
- Negotiate payment terms with vendors when appropriate
- Prepare 1099 forms for independent contractors
Bank, Credit Card, and Departmental Accounting Reconciliations
- Perform monthly bank reconciliations for all accounts
- Reconcile corporate credit card statements
- Conduct departmental accounting reconciliations
- Investigate and resolve discrepancies in financial records
- Document reconciliation processes and maintain audit trails
Additional Responsibilities
- Support external auditors during annual audit processes
- Maintain compliance with financial policies and procedures
Qualifications
- 3+ years of experience in full-charge bookkeeping or accounting
- Proficiency with accounting software (QuickBooks or similar)
- Strong knowledge of GAAP principles
- Excellent attention to detail and accuracy
- Strong organizational and time management skills
- Ability to maintain confidentiality with financial information
- Experience with Excel and other MS Office applications
Education
- Associate's degree in Accounting or related field (Bachelor's preferred)
- Professional certification (such as Certified Bookkeeper) is a plus
