Job Summary

The Executive Assistant provides high-level administrative and strategic support to the President, helping to streamline daily operations, communications, and key initiatives. This position also plays a key support role to the Human Resources and Training & Development teams, assisting with coordination, documentation, and implementation of employee-related programs and initiatives.

Key Responsibilities

Executive Support

  • Manage and prioritize the President's calendar, travel, meetings, and appointments.
  • Screen and prioritize emails, calls, and correspondence; draft and respond to communications on behalf of the executive.
  • Coordinate meetings and events, including logistics, agendas, and minutes.
  • Support internal and external communications and serve as a point of contact.
  • Serve as a liaison between the executive and internal/external stakeholders.
  • Conduct research and provide summaries or briefs to inform decision-making.
  • Attend various meetings, taking notes and reporting back to Executive.
  • Coordinate executive meetings, Off-Site, and follow-up action items.
  • Manage expense reports, vendor communications, document filing, and other day-to-day administrative tasks.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Various miscellaneous tasks

HR Support

  • Assist with coordination of employee onboarding and offboarding activities.
  • Support the scheduling and documentation of interviews and recruitment processes.
  • Help facilitate internal HR communications and announcements.
  • Coordinate logistics for employee events, engagement activities, and recognition programs
  • Act as role back-up coverage.

Training & Development Support

  • Maintain and update training calendars and schedules.
  • Coordinate logistics, preparation and delivery of training sessions, including room setup, materials, and technology.
  • Track employee participation and completion of required training and performance evaluations.
  • Support communications related to learning initiatives and development opportunities.
  • Act as role back-up coverage.

Candidate Qualifications:

Experience

  • 3-5 years of experience
  • Education: High School Degree, bachelor's degree preferred

  • Exceptional written and verbal communication skills.
  • Strong emotional intelligence, diplomacy, and interpersonal skills.
  • Proficient in Microsoft Office Suite and calendar management platforms.
  • Highly organized and detail-oriented with the ability to multitask and prioritize.
  • Proven ability to work independently, anticipate needs, and act proactively.
