Job Summary
The Executive Assistant provides high-level administrative and strategic support to the President, helping to streamline daily operations, communications, and key initiatives. This position also plays a key support role to the Human Resources and Training & Development teams, assisting with coordination, documentation, and implementation of employee-related programs and initiatives.
Key Responsibilities
Executive Support
- Manage and prioritize the President's calendar, travel, meetings, and appointments.
- Screen and prioritize emails, calls, and correspondence; draft and respond to communications on behalf of the executive.
- Coordinate meetings and events, including logistics, agendas, and minutes.
- Support internal and external communications and serve as a point of contact.
- Serve as a liaison between the executive and internal/external stakeholders.
- Conduct research and provide summaries or briefs to inform decision-making.
- Attend various meetings, taking notes and reporting back to Executive.
- Coordinate executive meetings, Off-Site, and follow-up action items.
- Manage expense reports, vendor communications, document filing, and other day-to-day administrative tasks.
- Handle confidential and sensitive information with discretion and professionalism.
- Various miscellaneous tasks
HR Support
- Assist with coordination of employee onboarding and offboarding activities.
- Support the scheduling and documentation of interviews and recruitment processes.
- Help facilitate internal HR communications and announcements.
- Coordinate logistics for employee events, engagement activities, and recognition programs
- Act as role back-up coverage.
Training & Development Support
- Maintain and update training calendars and schedules.
- Coordinate logistics, preparation and delivery of training sessions, including room setup, materials, and technology.
- Track employee participation and completion of required training and performance evaluations.
- Support communications related to learning initiatives and development opportunities.
- Act as role back-up coverage.
Candidate Qualifications:
Experience
- 3-5 years of experience
- Education: High School Degree, bachelor's degree preferred

- Exceptional written and verbal communication skills.
- Strong emotional intelligence, diplomacy, and interpersonal skills.
- Proficient in Microsoft Office Suite and calendar management platforms.
- Highly organized and detail-oriented with the ability to multitask and prioritize.
- Proven ability to work independently, anticipate needs, and act proactively.
