Job DescriptionAbout the Role

We are seeking a detail‑oriented and customer‑focused Customer Service & DME Order Processing Representative to join our growing Wisconsin team. In this role, you will support patients, providers, and internal departments by handling inbound inquiries, completing outbound follow‑up calls, and managing daily order entry for durable medical equipment (DME). You will work closely with referral sources, insurance carriers, and internal staff to ensure accurate documentation, efficient processing, and exceptional service.

This location is part of a close‑knit, collaborative team that values communication, teamwork, and celebrating wins together.

Schedule: Monday–Friday, 8:30 AM – 5:00 PM

Type: Contract‑to‑Hire (Strong intention to convert)

Key Responsibilities

  • Handle 30 inbound calls daily and 40–50 outbound calls, focused on order processing and follow‑up
  • Assist walk‑in patients and complete basic DME order entry in a small‑team office environment
  • Navigate multiple EMR systems to obtain required documentation
  • Enter and review all pertinent information including authorizations, expiration dates, and insurance requirements
  • Communicate with Customer Service and Management regarding insurance trends or documentation issues
  • Verify insurance carriers in the company database and submit requests for new carrier entries when needed
  • Contact patients when documentation is insufficient, provide updates, and offer additional options to keep referrals moving
  • Respond to calls and emails quickly while meeting internal service goals
  • Document all call information in accordance with standard operating procedures
  • Accurately process, verify, and submit all required documentation and orders
  • Meet quality assurance expectations and key performance metrics
  • Resolve customer concerns and help problem‑solve order or documentation issues
  • Utilize internal tools such as Authorization Guidelines, Insurance Guidelines, Fee Schedules, NPI/PECOS databases, and “How‑To” guides

Required Qualifications

  • Customer Service experience (office, medical, insurance, or administrative setting strongly preferred)
  • Strong time management, multitasking ability, and organizational skills
  • Ability to problem‑solve and work efficiently in a fast‑paced environment
  • Basic computer proficiency and ability to learn new systems
  • Strong communication skills, both written and verbal
  • Consistent employment tenure

Job Type & Location

This is a Contract to Hire position based out of Racine, WI.

Pay and Benefits

The pay range for this position is $19.00 - $21.00/hr.
