Executive Director Position - Medical Society

The Broome County Medical Society is a professional advocacy organization dedicated to supporting physicians and advancing healthcare in our community. As a component society of the Medical Society of the State of New York, we represent physicians across all specialties while maintaining strong relationships with local hospitals, healthcare institutions, and state medical organizations.

Position Overview

We are seeking a dedicated Executive Director to lead our organization's daily operations and strategic initiatives. This part-time position offers flexible scheduling and the opportunity to make a meaningful impact on the medical community in Broome County. The ideal candidate will be organized, personable, and passionate about supporting healthcare professionals.

Key Responsibilities

Board Leadership & Communications

  • Plan, coordinate, and attend monthly board and committee meetings
  • Manage all board communications and correspondence
  • Prepare comprehensive meeting agendas and materials
  • Maintain accurate meeting minutes and records

Event Planning & Management

  • Coordinate and execute in-person events including educational seminars, networking gatherings, and annual meetings
  • Negotiate contracts with venues, caterers, and event vendors
  • Manage relationships with event sponsors
  • Process and track pledged donations and event receipts
  • Oversee event logistics from planning through execution

Database & Administrative Management

  • Maintain and update member database
  • Manage member rosters, contact information, and credentials verification
  • Track membership dues, organizational income, and expenses
  • Handle incoming correspondence and member inquiries
  • Execute special projects as directed by leadership to achieve organizational goals

External Relations & Communications

  • Maintain professional relationships with local hospital administrators
  • Serve as liaison with Medical Society of the State of New York and other county medical societies
  • Coordinate meetings with legislators and government officials
  • Keep organization website current with events, news, and member information

Financial Coordination

  • Work closely with bookkeeper to manage accounts receivable and payable
  • Coordinate payment collection and vendor payments
  • Support financial reporting and budget tracking
  • Assist with basic accounting functions and expense management

Required Qualifications

  • Microsoft Office Proficiency: Basic skills in Microsoft Word and Excel
  • Event Coordination Experience: Demonstrated ability to plan and execute professional events
  • Communication Skills: Excellent written and verbal communication abilities
  • Organization: Strong attention to detail and project management capabilities
  • Professional Demeanor: Ability to represent the organization professionally with diverse stakeholders

Preferred Qualifications

  • Basic knowledge of QuickBooks for accounting and financial reporting
  • Experience with database systems
  • Experience working with healthcare organizations or professional associations
  • Familiarity with non-profit operations
  • Experience with website management and updates
  • Understanding of healthcare environment
