Job DescriptionWe are looking for an experienced Executive Assistant to provide high-level administrative support to senior leadership. In this role, you will be responsible for managing schedules, coordinating travel, and ensuring smooth execution of executive meetings and engagements. This is a long-term contract position based in Boston, Massachusetts.
Responsibilities:
• Maintain and organize executive calendars, ensuring all appointments and meetings are scheduled efficiently.
• Coordinate and arrange detailed travel plans, including booking flights, accommodations, and transportation.
• Prepare agendas and materials for executive meetings to ensure they run smoothly and effectively.
• Act as a point of contact for internal and external stakeholders, managing communications on behalf of executives.
• Handle confidential information with discretion and professionalism.
• Monitor and prioritize incoming requests, ensuring timely responses and follow-ups.
• Facilitate seamless coordination across departments to support executive initiatives.
• Resolve scheduling conflicts and anticipate potential challenges to maintain operational efficiency.
• Assist with ad hoc administrative tasks to support the executive team.
• Ensure all travel arrangements are aligned with organizational policies and preferences.• Proven experience as an Executive Assistant or in a similar administrative role.
• Strong proficiency in calendar management and scheduling tools.
• Demonstrated expertise in coordinating complex travel arrangements.
• Exceptional organizational skills and attention to detail.
• Excellent communication and interpersonal abilities.
• Ability to handle sensitive information with confidentiality and discretion.
• Proficiency in Microsoft Office Suite and other relevant software.
• Adept at managing multiple tasks and priorities in a fast-paced environment.
