Position Overview

The Executive Assistant partners directly with the CEO, COO, and Project Managers, acting as an operational hub for recruiting, travel logistics, compliance tracking, office administration, and executive support. The role offers a growth path into senior Operations, HR, or Project Coordination as the company expands.

This position would start remotely and move to our Tampa Bay office (opening in the coming months) with limited hybrid flexibility.

Key Responsibilities

• Recruiting & Onboarding

- Post and manage job ads (Indeed, LinkedIn, etc.), screen resumes, schedule interviews.

- Coordinate onboarding and ensure all new‐hire paperwork, safety training, and certifications are complete and up‐to‐date.

• Travel & Expense Coordination

- Arrange multi‐state travel and lodging for leadership; track reimbursements, mileage, and company card expenses.

• Executive & Document Support

- Prepare agendas, meeting minutes, high‐impact presentations, and reports for the CEO/COO.

- Maintain organized digital and physical archives for contracts, permits, and compliance forms.

• Office & Fleet Administration

- Oversee office supplies, vendors, and facilities.

- Track vehicle registrations, insurance renewals, and preventive‐maintenance schedules for company vehicles, trailers, and heavy equipment.

• Bookkeeping Liaison

- Partner with the bookkeeper on expense coding, invoice tracking, and basic financial reporting.

Qualifications

• 3+ years as an Executive Assistant, Office Manager, or Project Coordinator (construction or telecom preferred).

• Superior organizational and communication skills.

• Proficiency with the tools listed above.

• Ability to thrive in a fast‐paced, field‐service environment.

• Eligibility to work in the United States.
