JOB DESCRIPTION
Position: Mediation Case Manager #2
Reporting: Reports to Executive Director
Job Status: 15-25 hours per week
Other Info: This is a grant-funded position that is renewed annually, funds permitting. CMS does not offer health insurance or retirement benefits. MUST BE ABLE TO ATTEND IN-PERSON METTINGS TWICE EACH MONTH IN ST. JOSEPH MI.
Essential Functions:
Ø Receives court orders and individual requests for mediations from Kalamazoo and Branch counties of the service area;
Ø Conducts intake with clients prior to mediation.
Ø Schedules mediations with plaintiffs and defendants;
Ø Schedules mediators for all mediations;
Ø Sends mediation notices indicating date, time, and fees;
Ø Prepares & submits court roster certification papers for volunteers;
Ø Updates MadTrac, mandated, proprietary software for tracking mediation cases;
Ø Takes in fees and records all financial transactions in MadTrac and in daily logs;
Ø Tracks payments and sends overdue financial notices to clients;
Ø Produces required MadTrac reports as well as other informational reports from MadTrac at the Executive Director’s request;
Ø Responds to questions and requests from volunteers;
Ø Maintains frequent, effective communication with court administrators, Friends of the Court, colleagues from other CDRP Centers, and others for mutual problem-solving or information updates;
Ø Front-line phone attendant & takes messages for Executive Director;
Ø Orders and maintains office supplies through main office in St. Joe.
Ø Maintains professional appearance and behaviors at all times;
Ø Provides excellent customer service to all stakeholders;
Ø Participates in collaborative problem-solving with colleagues;
Ø Participates in appropriate training events, as requested;
Ø Maintains strict confidentiality regarding cases and clients;
Ø May fill in as a civil mediator, if needed
Ø Manages ZOOM mediations and invites for two counties
Ø Manages MI Resolve as requested for two counties
Ø Other duties as assigned.
The Case Manager will receive training for first two weeks in the St. Joseph office. Once training is complete, role can be completed remotely. Staff meetings and in-person services will require some time in the office. This is coordinated with other staff.
Qualifications:
Ø Four-year college degree preferred; high school diploma may be accepted
Ø Experience in office setting;
Ø Excellent communications skills;
Ø Strong technology skills; ability to learn web site management software and social media platforms
Ø Ability to prioritize work in a self-directed environment;
Ø Strong customer service orientation.
Ø May be required to complete Civil Mediation Training (at CMS expense) within first year of employment
Compensation Range: $16.00 to $17.00/hour based on experience/education
