About the Role

As Booking Manager, you will serve as the central point of coordination for group bookings, managing the full lifecycle from initial inquiry through post-stay follow-up. This is a highly visible, guest-facing role that requires strong organization, attention to detail, and the ability to manage multiple moving parts in a fast-paced environment.

You will work closely with internal teams and clients to ensure each experience is thoughtfully planned and seamlessly executed. From building detailed plans to hosting groups on-site, your role is critical in delivering exceptional outcomes and fostering strong client relationships.

Key Responsibilities

  • Manage the full booking lifecycle from inquiry through planning, execution, and follow-up
  • Serve as the primary point of contact for clients, ensuring a seamless and high-quality experience
  • Develop detailed run-of-show plans, including lodging assignments, schedules, and logistics
  • Coordinate across internal teams including operations, kitchen, and facilities to ensure alignment
  • Host groups on-site and provide hands-on support during program execution
  • Maintain clear, consistent communication with clients and internal stakeholders
  • Track booking details, updates, and client interactions within CRM systems
  • Ensure all logistics and program elements are well-organized and executed to a high standard

Requirements

  • Minimum 2+ years of experience in hospitality, event coordination, group sales, or customer success
  • Strong communication skills and consistent follow-through
  • Highly organized with exceptional attention to detail
  • Ability to manage multiple priorities and moving parts independently
  • Comfortable working in a fast-paced, dynamic environment
  • Experience with CRM systems (HubSpot preferred)
