Position Overview

The Logistics Coordinator – Documentation & Billing plays a key role in ensuring accurate, timely, and cost-effective freight operations. This position combines administrative accuracy, communication skills, and cross-departmental coordination. You will support freight documentation, carrier and customer communication, data accuracy, and overall workflow between Logistics, Accounting, Customer Service, and internal departments. This is an excellent role for someone who enjoys problem-solving, improving processes, and supporting a team-driven operation.


The ideal candidate will have a firm grasp of freight documentation (BOLs, manifests, and rate sheets) and experience reconciling carrier invoices against shipping quotes.

Key Responsibilities

Freight Operations & Documentation

  • Prepare domestic and international shipment documentation (BOLs, customs forms, compliance paperwork).
  • Use approved freight software and customer portals to schedule shipments and generate documentation.
  • Provide timely shipment updates to customers, including tracking numbers, delivery timelines, delays, or changes.
  • Maintain accurate freight records for audit and accounting purposes.

Financial & Data Accuracy

  • Enter and maintain freight data in QuickBooks and other systems.
  • Prepare freight cost quotations and assess cost-effective shipping options.
  • Reconcile freight invoices, charges, and discrepancies with carriers and Accounting.
  • Support end-of-month closing activities and assist other accounting functions as needed.

Communication, Coordination & Customer Service

  • Communicate proactively with carriers, customers, and internal teams to coordinate shipments and resolve issues.
  • Identify and troubleshoot freight-related conflicts, delays, or cost risks.
  • Provide general office support, including filing, correspondence, phone support, and data entry.

Problem Solving & Continuous Improvement

  • Participate in team meetings, 5 Whys, Kaizen, PDCA, and other problem-solving activities.
  • Identify improvement opportunities and collaborate with the Team Lead for development.
  • Maintain 6-S principles in all work areas.
  • Contribute to a positive, collaborative environment by supporting team culture, celebrating wins, and recognizing contributions.

General Responsibilities

  • Follow all safety procedures and report hazards to the Team Lead.
  • Represent and reinforce company culture, values, and lean principles.
  • Perform other duties as assigned.
  • Demonstrate the ability to teach role responsibilities as part of advancement requirements.

Physical Requirements

Regular operation of computers and standard office equipment. Regular standing, walking, lifting, and carrying items over 20 lbs. Adequate visual acuity is required for reviewing documents, data, and shipping materials.
