Duties and Responsibilities:
- Under general supervision of the Chief Court Clerk and/or Chief Judge, greet clients and visitors warmly, ensuring they feel comfortable and informed upon arrival.
- Answer, screen, and route incoming phone calls to the appropriate staff member.
- Maintain a clean, professional, and organized reception area, conference rooms and courtrooms.
- Provide excellent customer service while fielding general inquiries about the Court's services.
- Schedule and confirm client hearings, managers meetings, staff meetings etc. using the courts outlook calendar system.
- Sort, scan, and distribute incoming mail, faxes, and deliveries; prepare outgoing mail.
- Monitor and manage the Court Clerk general email inbox, forwarding or responding as directed.
- Maintain office supplies by inventorying stock, and coordinating equipment maintenance.
- Perform clerical duties including copying, scanning, and filing confidential documents. Opportunity for advancement to Court Clerk.
Minimum Qualifications:
- High school diploma or equivalent.
- 1–3 years of experience as a receptionist, administrative assistant, or in a client-facing customer service role (court or law firm experience is a strong plus).
- Exceptional verbal and written communication skills with a professional, empathetic phone manner.
- Unwavering commitment to client confidentiality and ethical standards in handling legal matters. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn legal case management software.
- Strong organizational skills and the ability to multitask effectively when juggling client walk-ins and phone calls.
Physical Demands:
While performing the duties of this job, the employee regularly is required to sit; use hands to fingers, handle or feel, reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee occasionally is required to walk; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds.
Work Environment:
Work is performed in an office and courtroom setting with a moderate noise level appropriate work attire is required.
