P&G is seeking a dedicated Remote Administrative & Office Assistant to join our U.S.-based team. In this critical support role, you will be instrumental in ensuring the smooth daily operations of a key department or group of managers, leveraging your organizational prowess to manage schedules, coordinate communications, and streamline administrative tasks.
What You Will Do:
- Calendar & Meeting Management: Efficiently manage and coordinate complex calendars for assigned team members, scheduling meetings (both virtual and in-person, as needed) and ensuring all logistics are covered across time zones.
- Virtual Collaboration Support: Organize and facilitate virtual meetings using platforms like Microsoft Teams or Zoom, including preparing agendas, taking minutes, sharing materials, and following up on action items.
- Document & Data Handling: Prepare, format, and edit professional documents, presentations, and reports using Microsoft Office Suite (Word, Excel, PowerPoint). Maintain digital filing systems and manage sensitive information with discretion.
- Communication Hub: Act as a central point of contact, managing incoming communications (emails, calls) and directing inquiries to the appropriate team members, drafting professional responses as needed.
- Travel & Expense Coordination: Assist with domestic travel arrangements (as business travel allows) and process expense reports accurately and in a timely manner.
- Administrative Project Support: Provide support on various administrative projects, including data entry, organizing information, tracking deadlines, and coordinating small initiatives.
- Remote Office Management: Assist with ordering and managing necessary remote work supplies, ensuring team members have the tools they need to be productive.
- Team Support & Culture: Proactively identify opportunities to support team efficiency and contribute positively to a collaborative virtual team environment.
What We Are Looking For:
- High School Diploma or GED required; Associate's degree or higher preferred.
- 2+ years of administrative assistant, office assistant, or similar support role experience.
- Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort with virtual communication and collaboration platforms (e.g., Microsoft Teams).
- Exceptional organizational skills, attention to detail, and a commitment to accuracy.
- Excellent written and verbal communication skills with a professional and service-oriented demeanor.
- Ability to work independently, manage time effectively, and prioritize tasks in a remote setting.
- Proactive problem-solver with a strong sense of initiative and adaptability.
- Ability to handle confidential information with the utmost discretion and integrity.
- Reliable high-speed internet connection and a dedicated, quiet home workspace.
